Position: Administrative Assistant lll - Attendance
Reports to: Middle School Principal
Hours: M-F 8.0 hrs/day
Wage: $25.16-$27.10/hr per the 2025-2027 Administrative Assistants and Specialists Contract
Job Summary:
Perform general secretarial/clerical duties for the school and general office area with a large focus on data entry and coordination of student information.
Experience Required:
-
Two or more years post-secondary training, preferred.

High school diploma or GED
-
Spanish/Bi-Lingual speaking preferred.

Minimum of one year of previous office experience

Demonstrated ability to have and maintain positive and effective working relationships
-
Demonstrated ability to apply appropriate math skills in performing daily routines (i.e. percent, ratios, basic math, etc.)

Demonstrated ability to communicate clearly and effectively in a courteous, business-like manner with students, staff, administration, parents, and the community

Demonstrated ability to prioritize office tasks to support the school and fulfill job responsibilities

Demonstrated ability to utilize all appropriate computer technology and related software (Excel, Campus, Google Apps, etc).
Essential functions of the job may include but are not limited to the following:

Performs clerical duties such as typing and distribution of correspondence, forms, and surveys, answering phones, schedule appointments, greeting visitors and answering questions or directing visitors to appropriate locations, filing, copying, processing mail, scheduling appointments, organizing department information, and maintaining records (such as detention)

Supervises and delegates work of student office help; give grades for these students. Compiles and types P.A. announcements, supervises student announcers; gives announcements in their absence.

Performs daily attendance duties; receives incoming attendance calls; contacts homes of absent students; checks and investigates irregularities; designates credit to be given for absences. Issues passes and deals with tardy students. Reports irregularities and unusual circumstances to assistant principal; Communicates homework expectations to students or parents.

Maintains ledger book of total enrollment with student additions and withdrawals. Processes all student withdrawals, routing forms to proper channels.

Maintains department records and files such as related to attendance, truancy and mark reporting.

Issues identification cards, collects fees for lost cards, collects activity fees during the school year, assists principals with collection of student financial obligations. Receives deposits.

Distributes honor roll four times a year.

Assists with management of student-oriented tasks such as attendance reports, locker assignments and monies from same, activity passes, parking lot tags, maintaining detention records and suspension records, homework obligations, mark reporting and planners, and locating students for faculty or parents, supervising detention and proper notification of discipline incidents.

At middle schools, performs additional duties such as: recording grades and activities, transcripts, honor roll production, report cards, maintains class lists and assist with master schedule; coordinate student attendance recognition and truancy processing, and assist guidance secretary with activities.
Other functions of the job include but are not limited to the following:

Assists in guidance, health or other office area or projects as needed.

Performs other general clerical duties to accomplish the objectives of the total school program as needed or assigned.
Physical Requirements:
General office working conditions, using close vision, walking, and talking; frequently using keyboard to input information into computer, reaching with arms and hands; presenting information to students and lifting up to 20 pounds.
