We are seeking a highly professional, discreet, and experienced Corporate Personal Assistant to provide comprehensive executive and personal support to a busy CEO of a growing company. This high-trust role combines corporate administrative duties with personal coordination, including financial transaction handling in QuickBooks, liaison with attorneys and financial planners, calendar management, and occasional support in a ranch environment. Absolute confidentiality is paramount—a signed Non-Disclosure Agreement (NDA) and confidentiality agreement will be required upon hire.
This is a full-time position based in the Burleson/Fort Worth area (Texas). The ideal candidate is proactive, adaptable, detail-oriented, and comfortable handling sensitive personal and financial information.
Responsibilities:
- Manage the CEO's executive calendar, including scheduling high-level meetings, travel arrangements, appointments, and personal commitments while anticipating needs and resolving conflicts.
- Serve as primary point of contact for internal/external communications: handle emails, phone calls, correspondence, and professional interactions on behalf of the CEO.
- Oversee financial and administrative tasks, including:
- Entering, reconciling, and reporting transactions in QuickBooks.
- Processing expenses, invoices, payments, and budget tracking.
- Coordinating with accountants, and other advisors—scheduling meetings, preparing/following up on documents, and ensuring timely action items.
- Maintain strict confidentiality of all sensitive corporate, personal, and financial information; exercise sound judgment and discretion at all times.
- Prepare documents, reports, agendas, and confidential correspondence using Microsoft Office Suite.
- Coordinate logistics for business and personal errands, events, travel, and special projects.
- Present professionally in office and executive settings (appropriate business attire required).
- Handle additional administrative and operational support as needed to enhance CEO efficiency.
Qualifications & Requirements:
- Experience as an Executive Assistant, Personal Assistant to CEO, or similar high-level support role.
- Proficiency with QuickBooks a plus (transaction management, reconciliations, reporting).
- Exceptional organizational, multitasking, and time-management skills in a fast-paced setting.
- Impeccable discretion, integrity, and professionalism—must be willing and able to sign and strictly adhere to an NDA and confidentiality agreement.
- Strong written and verbal communication skills with a polished, professional demeanor.
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and general tech adaptability.
- Ability to adapt to flexible work environments (reliable transportation and valid driver's license).
- Local to the Burleson/Texas area or willing to commute (no relocation assistance).
