As we grow, we're looking for an Executive Administrative Assistant who can keep our leadership organized, on track, and supported — playing a key role in keeping the business moving forward every day.
About the Role
As the Executive Administrative Assistant, you will provide high-level administrative support to the President of the company. This role is ideal for someone who is organized, proactive, and thrives in a dynamic environment where priorities shift and no two days look the same. You’ll help streamline communication, coordinate schedules, handle confidential information, and keep day-to-day operations running smoothly.
Key Responsibilities
- Provide direct administrative support to the President, including managing calendars, meetings, travel arrangements, and internal communications.
- Handle email and phone correspondence professionally and promptly.
- Coordinate and prepare materials for meetings, presentations, and reports.
- Maintain organized filing systems (physical and digital) for business records, contracts, and confidential materials.
- Track key project deadlines, follow up on action items, and support execution of time-sensitive initiatives.
- Liaise with vendors, customers, and internal team members to ensure clear communication and smooth coordination.
- Assist with light office management duties (e.g., ordering supplies, organizing internal events).
- Support hiring efforts, onboarding, and HR-related administrative tasks as the team grows.
- Be a flexible, go-to resource for other business tasks as needed — a true partner in growth.
What We’re Looking For
- 3+ years of experience in an administrative or executive assistant role.
- Excellent communication skills — written and verbal.
- Exceptional organizational skills and attention to detail.
- Strong problem-solving mindset and ability to anticipate needs.
- Proficient in Microsoft Office Suite, Google Workspace, and virtual communication tools (Zoom, etc.).
- Trustworthy, discreet, and comfortable handling confidential information.
- Positive, can-do attitude and a team-first mentality.

Job Type: Full-time
Pay: $24.16 - $29.09 per hour
Expected hours: 40 per week
