Job Description and Responsibilities include but not limited to the following:
1. Recruitment is main responsibility:
· Assist with the design and implementation of the overall recruiting strategy for the company.
· Communicate with department Directors/Administrators and Director of Recruitment to ensure strategies meet the “current” recruitment needs of the company.
· Coordinate the recruitment processes for all company departments.
· Grow the recruitment network by becoming an active member within industry organizations.
· Interact with colleges and universities to receive and screen potential applicants for company “catchment” areas.
· Review and screen resumes from recruitment networking resources.
· Ensure applicant has all required documents and is in compliance.
· Schedule interviews with Program Director and/or Supervisor as needed.
· Maintain applicant records for all job positions.
· Maintain recruitment quota given by Director of Recruitment.
· Process applicants for licensed facilities following licensing regulations that apply to each Licensed Program.
· Maintain a “new hire” bulletin board, coordinate & maintain the applicant/s hiring process to ensure updates to AST, SLS, Day Program, and ISP facility Supervisors/Directors/Administrators.
2. Participate in Job Fairs/Resource Events
· Career Centers
· Colleges
· Other business-related events as required.
· Calendar all pertinent events in Outlook and set reminders for staff to attend.
3. Conduct New Hire Orientation for Inclusion Companies
· Schedule new hire orientation a group or one-on-one.
· Organize new hire orientation with all department trainers and consultants
· Explain all pages of company policies and procedures.
· Ensure that the employee has a clear understanding of the policies and procedures.
· Distribute company equipment to new hires (backpacks, gloves, 1st Aid Kits, etc.).
· Obtain signatures for all new hire documents and equipment from new staff through Paycom.
4. Paycom responsibility:
· ATS implementation
· Ensure all applicants filter through Paycom Applicant Tracking System
· Process all new hires by using Paycom Applicant Tracking System
· Review all Pre-hire and Hiring Process checklist for accuracy
· Submit to payroll after all has been reviewed and approved
5. Special Projects
· Assist Director of Recruitment when needed.
· Surf the internet for resource links related to recruitment.
· Make suggestions /recommendations.
· Under the direction of primary supervisor maintain updates on the company’s social media.
6. Responsible for ensuring office is organized and secured at all times.
7. Maintain a clean and organized work station.
8. During the business day must respond to phone calls, text messages, and e-mails to management & administrative staff within a short period of time (less than 30 minutes in working hours and as soon as possible during emergencies).
9. Develop and submit a daily recap pertaining to duties completed for the prior week and submit to immediate supervisor.
10. Develop and submit a Recruitment recap weekly.
11. Maintain all recruitment trackers up to date.
12. Attend 12 hours of continuing education training classes to ensure professional & personal development.
13. Must submit for pre-approval your time-off request form and/or any other change with your daily work schedule.
14. Maintain a high level of honesty, confidentiality and work ethics.
15. Must always maintain a high level of communication, be consistent and act professionally with the Director of Recruitment, Program Managers, ICS Executive Directors and/or any other professional colleague.
16. Any other assigned duties presented by Director of Recruitment and ICS Executive Directors to meet the goals and objectives of the company.
Front office responsibilities:
- Greet and welcome guest, direct visitors to the appropriate person and office
- Answer, screen and forward incoming calls to the appropriate person
- Communicate effectively via e-mail, phone, and other communication platforms, as needed
- Create employee certificates, as needed (Employee of the month, Safety Award, and/or other certificates)
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, and employee temperatures)
- Update calendars and schedule meetings (e.g. outlook)
