Job Summary
We are seeking a detail-oriented and proactive Bookkeeper & Grants Administrator to join our dynamic team. Responsibilities
- Maintain and update the organization’s financial records using accounting software such as QuickBooks, Xero, Sage, or similar platforms.
- Perform general ledger accounting, including journal entries, account analysis, and account reconciliation to ensure accuracy and completeness.
- Conduct bank reconciliations regularly to verify all transactions align with bank statements and internal records.
- Manage accounts payable and accounts receivable processes, ensuring timely payments and collections.
- Prepare detailed financial reports, including balance sheets, income statements, and grant expenditure reports in accordance with GAAP (Generally Accepted Accounting Principles).
- Oversee grant accounting activities by tracking fund allocations, preparing grant-specific financial reports, and ensuring compliance with funder requirements.
- Handle payroll processing, tax filings, and other governmental reporting obligations related to financial activities.
- Support budgeting processes by analyzing expenses and assisting in the development of organizational budgets.
- Ensure all financial transactions adhere to double-entry bookkeeping standards and maintain proper documentation for audit purposes.
- Collaborate with program staff to monitor grant budgets and provide financial insights for project planning and reporting.
Requirements
- Proven experience with accounting software such as QuickBooks, Xero, Sage, or Quicken; familiarity with multiple platforms is preferred.
- Strong understanding of corporate accounting principles, non-profit accounting practices, and governmental accounting standards.
- Knowledge of GAAP guidelines along with experience in balance sheet reconciliation and general ledger management.
- Demonstrated ability in account reconciliation, bank reconciliation, journal entries, and account analysis.
- Familiarity with accounts payable/receivable processes, payroll management, tax compliance, and financial report writing.
- Technical proficiency in financial concepts such as debits & credits, double-entry bookkeeping, and account analysis.
- Excellent organizational skills with attention to detail; proficiency in 10 key typing is a plus.
- Ability to handle multiple tasks efficiently while maintaining accuracy under deadlines.
