Responsibilities include, but are not limited to:
Bookkeeping & Accounting
- Maintain accurate financial records and general-ledger transactions.
- Manage payables and receivables, invoice review and coding, processing approved payments under established authorization procedures, customer invoicing, payment posting, aging review and follow-up.
- Reconcile bank accounts, credit cards, and other financial accounts accurately and on schedule.
- Prepare monthly reports and supporting schedules, identify discrepancies or unusual activity, and manage month-end and year-end closing.
- Coordinate and process payroll entries and maintain related records and documentation.
- Process employee expenses and sales-tax filings and routine regulatory reporting.
- Monitor cash activity and provide accurate information for budgeting and planning.
- Maintain organized accounting records and coordinate regularly with the outside accountant, auditors, and tax professionals.
Office Administration
- Coordinate business policies and audits, supplies and equipment, service vendors, facility maintenance and repairs, and building-management matters.
- Maintain office records including but not limited to contracts, leases, insurance documents, and vendor files; organize electronic documents in SharePoint so records are current, secure, and easy to locate.
- Manage incoming and outgoing mail, package drop-offs, check-in and receive deliveries, and routine operational records.
- Welcome visitors and help maintain a clean, professional office environment, including light cleaning.
- Support onboarding/offboarding administration in coordination with management.
- Assist with company lunches, celebrations, and employee activities as needed.
- Complete company-related errands as needed.
- Provide CEO support, including scheduling, document organization, assigned follow-up, and defined operational projects.
- Other duties as assigned by management.
Education, Experience, And Skills
Required
- Have at least three years of hands-on bookkeeping or accounting experience.
- Have practical QuickBooks Online experience or can transition quickly from a comparable platform.
- Know your way around AP, AR, bank and credit-card reconciliations, and routine financial reporting.
- Have strong Excel skills and organizational habits to keep recurring deadlines on track.
- Work independently, protect confidential information, and follow through without close supervision.
- Enjoy combining accurate financial work with practical, limited office coordination.
Preferred
- Associate or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field; equivalent practical experience is equally valued.
- QuickBooks Online experience specifically, or experience working with outside CPAs, auditors, or tax professionals.
- Prior office administration or office coordination experience.
- Payroll processing or payroll administration experience.
- Experience supporting a small or mid-sized privately held business, professional services firm, or similar organization.

- The books are accurate, current, well organized, and ready for timely month-end and year-end work.
- Bills, customer invoices, payments, reimbursements, and routine reporting are processed accurately and on time.
- Accounting questions and outstanding receivables receive appropriate follow-up.
- Office vendors, supplies, records, and administrative needs are handled proactively and reliably.
- Leadership and outside accounting partners can count on complete, accurate information and strong follow-through.

Miscellaneous
- Work week, Monday–Friday, 8:00 am to 5:00 pm (Overtime/weekends as needed).
- Must pass all required background checks and maintain a current, valid driver’s license with proof of insurance as a condition of employment.
- Although this is considered a hybrid position, there is a weekly in-office requirement. This program allows you to work from home up to 2 days per week, after a successful probationary period.
