Duties
- Coordinate and manage daily schedules for caregivers, ensuring timely and efficient client visits while adapting to changing needs and priorities
- Serve as the primary point of contact between caregivers, clients, and office staff to facilitate clear communication and quick resolution of scheduling conflicts or emergencies
- Monitor staffing levels and proactively adjust schedules to meet fluctuating client demands and ensure adequate coverage at all times
- Maintain accurate records of appointments, cancellations, and rescheduling activities using our scheduling software or databases
- Assist in onboarding new caregivers by providing orientation on scheduling procedures and operational protocols
- Collaborate with management to optimize resource allocation, improve workflows, and implement process improvements for increased efficiency
- Support administrative tasks such as preparing reports, tracking key performance indicators, and managing documentation related to operations
Qualifications
- Proven experience in scheduling, operations coordination, or administrative support within healthcare or home care settings is highly preferred
- Exceptional organizational skills with keen attention to detail and the ability to multitask effectively under pressure
- Strong communication skills—able to convey information clearly and professionally across diverse teams and clients
- Proficiency in scheduling software, Microsoft Office Suite, or other relevant digital tools is required
- Ability to problem-solve quickly, adapt to changing circumstances, and maintain a positive attitude in a fast-paced environment
- Knowledge of home care regulations or healthcare compliance standards is a plus but not mandatory
