Duties
- Respond promptly and professionally to customer inquiries via multi-line phone systems, email, and in person at the front desk
- Manage appointment scheduling, calendar coordination, and office organization to ensure smooth daily operations
- Utilize productivity software such as Microsoft Office, Google Workspace, spreadsheets, and word processing tools to document interactions and maintain accurate records
- Assist with data entry tasks including filing, proofreading, and updating client information using computer literacy skills
- Provide administrative support by handling phone etiquette, client communication, filing systems, and clerical tasks such as photocopying and document preparation
- Support office management activities including inventory tracking, bookkeeping, and maintaining office supplies
- Collaborate with team members to improve workflow efficiency and enhance customer satisfaction through excellent service delivery
Requirements
- Proven experience in customer service or front desk roles within an office environment
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, spreadsheets, and data entry software
- Excellent organizational skills with the ability to multitask effectively and prioritize responsibilities
- Exceptional phone communication skills with a professional phone etiquette approach
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Experience with QuickBooks or similar bookkeeping software is a plus
- Knowledge of multi-line phone systems and office management procedures is preferred
- Previous experience as a medical or dental receptionist or personal assistant is advantageous
- Demonstrated ability to handle confidential information discreetly while maintaining accuracy in documentation
