Affordable Housing Project Coordinator
Position Summary:
Smart Build is seeking an organized, detail-oriented Affordable Housing Project Coordinator to support the successful execution of affordable housing rehabilitation projects across multiple properties. This role is responsible for the administrative coordination of renovation projects from preconstruction through closeout, ensuring all documentation, compliance requirements, resident communications, scheduling, and project reporting are completed accurately and on time.
The ideal candidate has experience supporting affordable housing renovation projects involving HUD, LIHTC, Section 8, RAD, public housing, or other government-assisted housing programs and understands the unique documentation and compliance requirements associated with these projects.
This position works closely with Project Managers, Superintendents, subcontractors, property management teams, ownership groups, and housing agencies to keep projects organized, compliant, and on schedule.
Key ResponsibilitiesProject Administration
- Coordinate project startup documentation.
- Create and maintain project files.
- Maintain electronic project records and document control.
- Track project schedules and milestone dates.
- Coordinate project closeout documentation.
- Maintain project logs including RFIs, submittals, change orders, punch lists, inspections, and closeout items.
- Prepare weekly owner reports and project status updates.
- Support Project Managers with administrative tasks.
- Track project budgets, purchase orders, and invoices.
- Assist with monthly project forecasting and reporting.
Affordable Housing Compliance
- Maintain compliance documentation required for affordable housing rehabilitation projects.
- Coordinate required documentation for HUD, LIHTC, Section 8, RAD, HOME, CDBG, and other funding programs.
- Track inspection schedules and approvals.
- Coordinate documentation with housing authorities and ownership representatives.
- Maintain Davis-Bacon and prevailing wage documentation when required.
- Collect and organize certified payroll documentation.
- Assist with environmental compliance documentation, including lead-safe work practices, asbestos, and mold protocols.
- Maintain Resident Protection Plan documentation.
- Ensure project files remain audit-ready throughout construction.
Resident & Property Coordination
- Coordinate project schedules with onsite property management.
- Prepare and distribute resident notices.
- Schedule unit access.
- Track occupied unit schedules.
- Coordinate temporary relocations when required.
- Maintain resident communication logs.
- Assist in resolving scheduling conflicts between residents, property management, and field staff.
- Coordinate daily and weekly unit availability.
Construction Coordination
- Coordinate subcontractor schedules with Project Managers.
- Track material deliveries.
- Schedule inspections.
- Maintain punch list logs.
- Coordinate warranty documentation.
- Process change order documentation.
- Maintain project meeting minutes.
- Assist with subcontractor onboarding documentation.
- Support procurement and material tracking.
Pay: From $90,000.00 per year
