Part-Time Administrative Assistant (Remote)
Location: Remote (San Francisco Bay Area-based company)
Schedule: Monday–Friday, 9:00 AM – 12:00 PM (15 hours per week)

We provide digital marketing, website design, social media management, advertising, and creative services to a diverse client base. We're seeking a reliable, organized, and personable Administrative Assistant to support our daily operations and help us continue to grow.
Position Overview
The Administrative Assistant plays a key role in keeping our business organized, responsive, and efficient. This position requires strong communication skills, attention to detail, and the ability to manage multiple tasks while maintaining a professional and friendly demeanor.
This is a fully remote, part-time position working Monday through Friday from 9:00 AM to 12:00 PM.
Responsibilities
- Answer incoming company phone calls in a professional and friendly manner
- Monitor and respond to inquiries received through the company email inbox
- Create and manage tasks and projects within Monday.com
- Draft client quotes and proposals
- Prepare client contracts and related documentation
- Place online orders and manage purchasing requests as needed
- Track employee and contractor hours
- Generate and send client invoices through QuickBooks Online
- Maintain spreadsheets and reports using Microsoft Excel and Google Sheets
- Organize digital files, records, and administrative documents
- Assist with various administrative and operational projects as assigned
- Support company leadership with day-to-day administrative needs
QualificationsRequired
- Previous administrative assistant, office coordinator, executive assistant, or similar experience
- Experience using Monday.com (required)
- Experience with Microsoft Excel and/or Google Sheets (required)
- Experience with QuickBooks Online or similar invoicing software
- Excellent verbal and written communication skills
- Strong organizational and time-management abilities
- Professional, friendly, and customer-focused phone etiquette
- High attention to detail and accuracy
- Ability to work independently in a remote environment
- Reliable internet connection and dedicated workspace
Preferred
- Experience working in a marketing, advertising, creative, or professional services environment
- Experience drafting contracts, proposals, or client-facing documents
- Familiarity with CRM or project management systems
