ADMINISTRATIVE ASSISTANT

What We Are Looking For
The Gonzales Chamber of Commerce & Agriculture is seeking an Administrative Assistant to support the daily operations of the Chamber. This position assists with office administration, front-of-house operations, member and visitor interactions, communications, and general organizational support under the direction of the Executive Director. The Administrative Assistant works closely with the Executive Director and serves as a professional representative of the Chamber with members, tourists, public agencies and officials, local organizations, and the general public.
How You Will Help
- Greet visitors and members in an energetic and welcoming manner
- Maintain a high level of organization and customer service
- Demonstrate strong written and verbal communication skills and proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint); support internal operations and assist the Executive Director with communications involving the Board of Directors, the City of Gonzales, Gonzales County, and Chamber committees as assigned
- Answer and log all calls with detailed notes
- Assist customers with merchandise purchases and process payments by cash, check, and card
- Perform daily sales reconciliation, deposits, and logging
- Manage tour leads by phone, in person, by mail, and email
- Manage the CC-Assist database, including member account maintenance, payment processing, event tracking, monthly invoicing, logging referrals and generating reports as directed
- Monitor email and voicemail
- Assist in the coordination of Chamber events through email and text messages
- Assist the Executive Director with quarterly reports
- Track and report visitor totals on a monthly and quarterly basis
- Update and distribute rental listings and member directories upon request, and track those requests
- Track referrals to member businesses via phone, online inquiries, and member initiated events
- Assist in monitoring website and social media accounts
- Assist in gathering member events for bi-monthly Cannon Blast Newsletter
- Add member events to the Chamber community calendar through CC-Assist
- Add member job postings to the website through CC-Assist
- Request visitor and tour packet materials and maintain inventory
- Assist with merchandise inventory and ordering
- Maintain general cleanliness and organization of the office and equipment
- Coordinate and track payments and booth locations for arts and craft vendors during the Come and Take It Celebration
- Attend Chamber fundraising events as required
- Assist the Executive Director in monitoring the student intern
- Perform other duties as assigned

Position Status:
This is currently a part-time position scheduled for 30 hours per week with retirement benefits. There is potential for the role to grow into a full-time position in the fall, depending on budget and organizational needs.
