Duties
- Manage multi-line phone systems, directing calls with professionalism and courtesy while providing excellent customer service.
- Handle front desk responsibilities, greeting visitors, managing appointments, and maintaining a professional office presence.
- Perform data entry tasks accurately using spreadsheets, Microsoft Office applications, Google Workspace, and other productivity software.
- Organize and maintain filing systems—both digital and physical—ensuring easy retrieval of documents.
- Assist with calendar management and scheduling for staff members, coordinating meetings and appointments efficiently.
- Support bookkeeping activities such as invoicing, expense tracking, and basic financial record keeping using QuickBooks or similar software.
- Provide clerical support including proofreading documents, word processing, preparing reports, and managing correspondence.
- Facilitate office management tasks such as supply ordering, inventory control, and maintaining office equipment.
- Offer client communication support through phone conversations and written correspondence, ensuring clarity and professionalism.
- Support medical or dental reception duties if applicable, including patient check-in/out procedures and appointment scheduling.
- Assist with personal assistant duties as needed to help team members stay organized and productive.
Experience
- Proven office experience demonstrating strong organizational skills and multitasking abilities in a fast-paced environment.
- Prior clerical experience involving data entry, filing, proofreading, and document preparation.
- Familiarity with Microsoft Office Suite (Word, Excel), Google Workspace tools (Docs, Sheets), and productivity software is essential.
- Experience managing multi-line phone systems and front desk operations with excellent phone etiquette.
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members.
- Knowledge of QuickBooks or bookkeeping software is a plus for supporting financial tasks.
- Strong computer literacy combined with technical proficiency in office management tools is required.
- Excellent time management skills coupled with organizational skills to prioritize tasks efficiently.
- Customer service experience demonstrating professionalism in client communication via phone or in person is essential.
