Administrative Assistant – Controller/Administrator’s Office
Montmorency County is accepting resumes for a full-time Administrative Assistant within the Controller/Administrator’s Office. This position is being posted both internally and externally, and qualified current County employees are encouraged to apply.
Starting Wage: $19.31 per hour
Schedule: 35 hours per week
FLSA Status: Non-Exempt (Hourly)
Work Location: Montmorency County Building – Atlanta, Michigan
Position Summary
The Administrative Assistant provides administrative, clerical, and operational support to the Controller/Administrator’s Office and assists with a variety of countywide functions. This position serves as a primary point of contact for County employees and the public and requires professionalism, organization, accuracy, confidentiality, and the ability to manage multiple responsibilities.
Primary Responsibilities
- Provide administrative support to the Controller/Administrator, including scheduling, correspondence, filing, meeting preparation, and document management.
- Prepare, proofread, and format reports, resolutions, policies, correspondence, and other County documents.
- Assist with Board of Commissioners meeting packets, agendas, public notices, and related materials.
- Answer phones, assist walk-in visitors, respond to general inquiries, and route requests to the appropriate department.
- Maintain office records, purchasing logs, supply inventories, and vendor communications.
- Coordinate office supply orders for County departments, including obtaining quotes, processing orders, tracking requests, and maintaining shared supply inventories.
- Process incoming and outgoing County mail, maintain postage funds, add funds to the postage system as needed, and prepare monthly postage usage reports.
- Assist with authorized County credit card purchases and maintain required sign-out/sign-in records, receipts, supporting documentation, and tracking logs in accordance with County policy.
- Provide daily coordination and oversight of County maintenance and janitorial staff, including work assignments, scheduling, work orders, building repairs, cleaning needs, and facility concerns.
- Coordinate vendor and contractor access for facility-related work and maintain records of maintenance requests and recurring service needs.
- Assist with County projects, special initiatives, recordkeeping, and department data gathering.
- Maintain confidentiality when handling personnel, financial, contractual, and other sensitive County information.
- Perform other duties as assigned by the Controller/Administrator.
Qualifications
- High school diploma or equivalent required; associate degree preferred.
- Two years of administrative or clerical experience preferred, particularly in government, business, or a similar professional office environment.
- Strong administrative, organizational, and computer skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office and general computer applications.
- Ability to manage multiple priorities, meet deadlines, and work independently.
- Professional and courteous customer service skills.
- Ability to maintain confidentiality and appropriately handle sensitive information.
- Experience coordinating staff, facilities, or office operations is helpful but not required.
