The Assistant Facility Manager supports the Facility Manager by owning the daily execution and coverage of the facility.
While the Facility Manager owns business performance and direction, the Assistant Facility Manager is responsible for making sure the plan is executed every day — the schedule is covered, the facility is ready, the team is executing, members are supported, and operational issues are resolved quickly.
We are looking for someone who takes ownership, communicates effectively, stays organized, and understands that when a problem arises, the expectation is not simply to report it — it is to help find the solution.
Key Responsibilities
Schedule Ownership & Staffing Coverage
- Own and maintain the facility staff schedule and ensure appropriate coverage for assigned operating hours.
- Manage call-outs, shift changes, time-off requests, vacations, and last-minute staffing needs.
- When a shift becomes uncovered, take immediate ownership of finding qualified coverage.
- If appropriate coverage cannot be secured, be prepared to step in and cover the shift when reasonably required by the role and schedule.
- Communicate recurring staffing concerns, schedule risks, and coverage issues to the Facility Manager.
- Anticipate staffing needs for holidays, special events, Mega Workouts, HYROX activations, and other facility programming.
Daily Facility Operations
- Ensure opening and closing procedures are completed properly.
- Maintain ISI standards for cleanliness, safety, equipment, music, supplies, signage, front desk presentation, and overall facility appearance.
- Conduct regular facility walkthroughs and address operational issues before they impact the member experience.
- Monitor cleaning products, office supplies, retail, supplements, and other operational inventory.
- Communicate and coordinate restocking and maintenance needs.
- Ensure the facility is clean, organized, welcoming, and ready before members arrive.
Member & First-Timer Experience
- Create a welcoming, energetic, and professional experience for members, guests, and first-timers.
- Support the complete first-timer journey, including check-in, discovery, coach handoff, post-session handback, and follow-up.
- Assist new members with the ISI App, booking procedures, membership policies, InBody opportunities, programs, and facility expectations.
- Handle routine member questions and service concerns professionally.
- Escalate sensitive or higher-level situations to the Facility Manager when appropriate.
- Help create an environment where members feel known, supported, challenged, and connected to the ISI community.
Sales & Lead Follow-Up
- Actively participate in lead follow-up, trial follow-up, no-show follow-up, membership conversations, and current promotional offers.
- Support the Facility Manager's sales strategy by consistently executing assigned calls, texts, emails, and follow-up tasks.
- Maintain accurate prospect and member notes in Mindbody.
- Understand current membership options, packages, promotions, and policies and confidently communicate them to prospects and members.
- Identify potential conversion opportunities and communicate them to the Facility Manager.
Retention & Re-Engagement
- Help identify members who are falling out of their training routine and support proactive outreach to reconnect them.
- Assist with follow-up related to declined payments, expiring trials or passes, inactive members, and other retention opportunities.
- Support routine freeze, downgrade, and cancellation conversations according to established procedures.
- Listen to member feedback and communicate recurring concerns or opportunities to the Facility Manager.
Team Execution & Accountability
- Help communicate daily priorities and expectations to Front Desk and Sales Associates.
- Ensure assigned team responsibilities are completed and facility procedures are followed consistently.
- Provide in-the-moment guidance when standards are not being met.
- Escalate performance or disciplinary concerns to the Facility Manager when appropriate.
- Lead by example in punctuality, professionalism, urgency, communication, energy, and ownership.
- Serve as the operational point person when the Facility Manager is not physically present.
Events, Community & Marketing Execution
- Support Mega Workouts, HYROX training events, run clubs, member socials, partner activations, and other community events.
- Help coordinate event staffing, facility setup, check-in, signage, supplies, and member communication.
- Support in-facility promotions, referral initiatives, flyers, TV announcements, and other marketing execution.
- Represent ISI professionally with community partners, vendors, prospects, and members.
Communication & Problem Solving
- Maintain proactive communication with the Facility Manager regarding staffing, member concerns, facility needs, sales opportunities, and operational risks.
- Understand which issues can be solved independently and which decisions require Facility Manager approval.
- When escalating a problem, whenever possible, come prepared with a potential solution.
- Document important member, staffing, and operational information accurately in the appropriate systems.

- The schedule is covered and staffing gaps are resolved quickly.
- The facility is clean, organized, stocked, safe, and ready for business every day.
- Daily priorities are completed without requiring constant follow-up from the Facility Manager.
- Members and first-timers receive timely and professional support.
- Leads and trials receive consistent follow-up.
- The front desk team understands expectations and executes consistently.
- Routine problems are handled proactively while higher-level issues are escalated appropriately.
- The Facility Manager is able to focus on business performance and direction because daily execution is under control.

Qualifications
- Previous experience in fitness, hospitality, retail, membership sales, customer service, or another fast-paced customer-facing environment preferred.
- Leadership, shift-lead, scheduling, or team-coordination experience strongly preferred.
- Strong verbal and written communication skills.
- Comfortable using Mindbody or similar CRM/POS systems, mobile apps, email, spreadsheets, and basic business technology.
- Ability to manage multiple priorities and remain calm and solutions-focused when unexpected issues arise.
- Flexible availability based on business and staffing needs.
- Fitness-minded and willing to actively participate in the ISI community.
