Job Summary
The Office Manager is responsible for overseeing the administrative, financial, human resources, and operational functions of Foundations to Healing. This position serves as a strategic partner to the Owner, CEO, CFO, Vice President of Clinical Services, and other members of leadership to ensure efficient operations, fiscal accountability, regulatory compliance, and organizational effectiveness.
This position manages office operations, supports executive leadership, oversees payroll and human resources administration, assists with budgeting and financial forecasting, maintains accounting records through QuickBooks Desktop, and coordinates organizational initiatives that support the organization's mission and strategic goals.
Duties
- Executive Leadership Support
· Serve as a trusted administrative and operational partner to the Owner, CEO, CFO, Vice President of Clinical Services, and leadership team.
· Manage executive calendars, meetings, travel arrangements, communications, reports, presentations, contracts, and confidential correspondence.
· Coordinate leadership meetings, prepare agendas and supporting materials, document meeting outcomes, and monitor follow-up activities.
· Assist leadership with strategic initiatives, organizational planning, accreditation activities, audits, licensing requirements, and special projects.
· Direct and oversee daily office operations to ensure efficiency, responsiveness, and compliance with organizational policies and procedures.
· Manage vendor relationships, facility operations, office equipment, purchasing activities, maintenance contracts, and office resources.
· Monitor office expenditures and assist leadership in maintaining operational effectiveness and budget compliance.
Financial and Accounting Management
· Maintain and manage the organization's accounting systems utilizing QuickBooks Desktop.
· Process bi-weekly payroll and maintain payroll-related records and reporting.
· Monitor accounts payable, accounts receivable, banking activities, reconciliations, expenditures, and financial documentation.
· Assist the CFO and leadership team with budget preparation, financial forecasting, cash flow monitoring, and monthly financial reporting.
· Support the preparation of Monthly Operating Reports (MORs), annual audits, and financial reviews.
Human Resources Administration
· Coordinate employee recruitment, onboarding, orientation, training, performance appraisal processes, and offboarding activities.
· Maintain personnel records and ensure compliance with organizational, regulatory, and employment requirements.
· Monitor employee training, credentialing, licensure, and compliance requirements.
· Assist leadership with employee relations, performance management, and workforce development initiatives.
Compliance, Reporting, and Quality Management
· Maintain administrative compliance with CARF, DCF, insurance, and other regulatory requirements.
· Generate, analyze, and maintain operational, financial, human resources, and compliance reports.
· Assist with audits, accreditation activities, surveys, inspections, and requests from external entities.
Pay: $26.00 - $31.00 per hour
