Job Summary
We are seeking a dynamic and highly organized Administration Manager to oversee the daily operations of our office environment. Responsibilities
- Oversee daily office operations, including front desk management, multi-line phone systems.
- Supervise administrative staff, providing training, development opportunities, and performance feedback to foster a motivated team.
- Manage vendor relationships, negotiate contracts, and coordinate procurement of office supplies and services to ensure cost-effective solutions.
- Organize company events, meetings, and training sessions through detailed planning and logistical coordination.
- Handle bookkeeping tasks such as data entry, invoicing, expense tracking, payroll processing using QuickBooks or similar software.
- Maintain organized filing systems—both digital and physical—to ensure quick access to essential documents and compliance with record retention policies.
- Support human resources functions including onboarding new employees, managing employee records, and assisting with HR-related inquiries.
- Oversee budgeting efforts for office supplies and administrative projects to optimize resource allocation within set financial parameters.
- Ensure effective communication across departments by managing schedules, disseminating information accurately, and maintaining professional phone etiquette.
Qualifications
- Proven experience in office management or administrative leadership roles with supervising experience preferred.
- Strong organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment.
- Familiarity with dental accounting or scheduling software is a plus.
- Experience in event planning, vendor management, and budget oversight to support operational excellence.
- Excellent communication skills—both verbal and written—with a focus on professional phone etiquette.
- Knowledge of human resources practices including onboarding, employee records management, and training & development initiatives.
- Prior experience working in dental laboratory management or similar environments is advantageous.
- Ability to handle clerical tasks such as filing, data entry, and front desk responsibilities with attention to detail.
