Join Our Growing Team!We are looking for a motivated, organized, and outgoing Administrative Assistant / Patient Concierge to become an important part of our growing medical spa and wellness practice. This position is perfect for someone who loves providing exceptional customer service, enjoys connecting with patients, has strong administrative skills, and is comfortable assisting with social media and sales.If you are passionate about aesthetics, wellness, and creating an outstanding patient experience, we'd love to meet you.Key Responsibilities
- Greet and welcome patients with a warm, professional, and friendly attitude.
- Answer incoming phone calls, text messages, emails, and social media inquiries.
- Schedule, confirm, and manage patient appointments.
- Check patients in and out while ensuring a seamless experience.
- Educate patients on available services, memberships, packages, and promotions.
- Build relationships with patients and confidently recommend treatments that fit their goals.
- Follow up with leads, consultations, and existing patients to encourage booking and retention.
- Process payments and maintain accurate patient records.
- Assist with daily administrative duties and office organization.
- Coordinate with providers to ensure excellent patient flow.
- Help maintain a clean, welcoming, and professional reception area.
- Assist with social media by capturing photos/videos, creating basic content, posting stories, and engaging with followers as needed.
- Support marketing initiatives and in-office events.
Qualifications
- Fluent in English and Spanish (required).
- Previous experience in a medical office, medical spa, aesthetic clinic, concierge, hospitality, or customer service is preferred.
- Previous sales experience or confidence recommending services is highly preferred.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Comfortable using scheduling software, Microsoft Office, and social media platforms such as Instagram and Facebook.
- Professional appearance with a positive, energetic attitude.
- Self-motivated, dependable, and eager to learn.
