Job Overview
We are seeking a dynamic and detail-oriented Administrative Assistant/Accountant to join our team! This vital role combines administrative support with accounting responsibilities, ensuring smooth office operations and accurate financial management. The ideal candidate will be energetic, highly organized, and possess a strong proficiency in office management, bookkeeping, and accounting software.
Duties
- Planning, administering, and managing the daily operations of the JATC.
- Work with those in and those applying for apprenticeship
- Represent interest of the Board of Trustees and operation of the JATC, coordinate efforts with contributing employers, and ensure timely distribution of required reports and documents.
- Liaison between Board of Trustees, professional advisors (Counsel, Accountant, and other professionals), including prepare agenda and materials for monthly meetings and substantive data relating to agenda.
- Create and maintain the class schedule during the school year.
- Track apprentices within program on behalf of teachers and contractors and provide timely notice of changes on pay scale.
- Responsible for all NYS DOL reporting including forms for indenture and forms of completion of program.
- Responsible for maintaining records for the apprentice hours audit by the NYS DOL.
- Maintain complete set of financials in QuickBooks.
- Work with auditor for successful completion of audit and timely filing of Form 990.

- Effective communication skills to deliver and receive direction as required.
Experience and Training:
Completion of course work equivalent to the academic requirements of an associate’s degree in accounting, business administration, human resources, or a related area. Experience managing and overseeing administrative activities or equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
