Position Overview
The Administrative Assistant manages daily office operations, provides clerical and communication support, and helps coordinate church activities. This role is ideal for someone who enjoys helping others, thrives in a structured environment, and is comfortable learning new systems.
Responsibilities
Communication & Office Support
- Greet visitors, answer phones, and direct inquiries appropriately.
- Maintain the pastor’s and church’s calendar.
- Prepare materials for meetings and worship services, including Sunday bulletins.
- Coordinate, assemble, and distribute weekly in person and online service materials
- Prepare and distribute the weekly newsletter (print and electronic).
- Maintain office filing systems (hard copy and digital).
- Manage church email and mail distribution.
- Create and update brochures and website content.
- Assist with event coordination and communication.
Administrative & Recordkeeping
- Maintain inventory and order office supplies.
- Manage the master facility schedule and communicate room access needs to custodial/security staff.
- Receive deliveries and coordinate related payments.
- Document Sunday worship attendance.
- Update membership records and prepare the annual church directory.
Training & Compliance
- Participate in ongoing training for office software and systems.
- Complete Safe Gatherings certification upon hire and maintain it as required.
Qualifications
- High school diploma required; secretarial training preferred.
- Experience in administrative support or office management.
- Proficiency with office software and equipment (copiers, printers, etc.).
- Strong communication and organizational skills.
- Willingness to learn new systems and processes.
Schedule & Compensation
- Part‑time: 25 hours/week, total. Monday–Friday, plus potential Sunday morning.
- Compensation will be discussed during the interview process.
- 3‑month probationary period; annual evaluation.
