The University of Illinois is accepting applications for a Class Schedule Coordinator in the Office of the Registrar. The Coordinator will provide oversight for the Catalog Management and Section Scheduling unit on the many aspects of creating and maintaining the class schedule and classroom assignments for the entire campus which also includes training departmental schedulers, assigning classroom spaces, and managing day-to-day questions/issues related to section set-up.
Duties & Responsibilities
- Monitor and coordinate department section creation and advise over 120 departments on best practices for creating and managing all aspects of section set-up. This includes assignment of proper schedule types or grade modes, controlling restrictions, techniques to use the reserved seating feature, and instructor assignments.
- Oversee production of the online class schedule for student registration purposes in Banner Self-Service (student registration system) and for public historical record in the Course Explorer (online class schedule) each term (Fall, Winter, Spring, Summer).
- As primary contact for scheduling and facility management, routinely communicate with department schedulers, instructors, and other administrators regarding issues related to scheduling timelines and classroom assignments.
- Analyze all components of section/course information to reduce problems for student registration, grade processing, and billing.
- Assist Associate Registrar with term roll and archiving processes in all scheduling tools: Banner, Ad Astra, and Course Explorer.
- Assist the Associate Registrar in the final exam process, including set-up and scheduling.
- Provide individualized Banner training to new department schedulers as needed.
- Coordinate and distribute incoming work evenly throughout the unit.
- Test relevant areas in Banner, Ad Astra, and Course Scheduler applications during upgrades and provide feedback to project managers.
- Implement and enforce campus policies related to standard scheduling, classroom capacities/fire codes, credit and grade modes, and Student Code policies related to classes.
- In conjunction with the Associate Registrar, develop training materials and presentations for departmental schedulers. Add educational content to the Office of the Registrar website.
- Bachelor's degree.
- A total of one (1) year (12 months) in education, training and/or work experience in an education setting, with experience in scheduling, academic administration, student services, or a related area. (Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
- Experience with Ellucian (BANNER) Catalog and Schedule application and/or Ad Astra application.
- Analytical skills that involve allocation of limited resources.
- Good organizational skills with the ability to juggle several detailed assignments concurrently and often under pressure of impending deadlines.
- Ability to interact effectively and congenially with people of varied backgrounds, including faculty, administrative staff, and students.
- Computer skills in basic office software packages including Outlook.
- Knowledge of physical aspects of the UIUC campus, specifically, the location, layout, unique attributes, and special use capabilities of classrooms and instructional spaces.
- An understanding of classroom preferences and needs of instructors and programs with regard to location, equipment, and class sizes.
This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The budgeted salary for this position is $47,000- $52,000. We strive to provide a competitive salary, considering factors such as available market data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. The final salary offer will be determined through a thorough assessment of these elements. Work authorization sponsorship is not available for this position.
