Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities
- Manage multi-line phone systems with professionalism and courtesy, directing calls and taking messages as needed
- Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
- Handle front desk duties including greeting visitors, answering inquiries, and maintaining a welcoming environment
- Organize and maintain filing systems—both physical and digital—to ensure easy retrieval of documents
- Support bookkeeping activities using QuickBooks or similar accounting software for invoicing and expense tracking
- Assist with calendar management and scheduling appointments for team members or clients
- Provide exceptional customer support through phone etiquette, email correspondence, and in-person interactions
- Conduct proofreading of documents to ensure accuracy and clarity before distribution
- Support office management tasks such as supply ordering, maintaining office equipment, and coordinating maintenance requests
- Perform clerical duties including photocopying, faxing, scanning, and data entry with high attention to detail
Experience
- Proven office experience with a strong background in administrative support roles
- Familiarity with QuickBooks accounting software and proficiency in productivity tools like Microsoft Office (Word, Excel, Outlook) and Google Workspace
- Experience managing multi-line phone systems and front desk operations in a professional setting
- Bilingual skills are highly desirable to assist diverse client needs effectively
- Prior experience in a construction/manufacturing setting preferred
- Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Strong typing skills with high accuracy; experience with proofreading is a plus
- Excellent customer service skills coupled with professional phone etiquette and interpersonal communication abilities
- Knowledge of office management best practices along with technical proficiency in office equipment and software tools
