Job Summary
PNW Traffic Control is seeking a highly organized, detail‑oriented, and self‑motivated Operations & Dispatch Assistant to support both our office and field teams. This role is essential in coordinating personnel, equipment, and resources to maintain safe and efficient traffic flow across multiple job sites.
The ideal candidate is a proactive problem‑solver who thrives in a fast‑paced environment, communicates clearly, and can manage multiple priorities without distraction. This position blends administrative operations, dispatching, field support, and customer communication. Availability for after‑hours and on‑call needs is required.
Key ResponsibilitiesCommunication & Coordination
- Communicate effectively with customers, field employees, supervisors, and office staff across multiple channels.
- Dispatch and coordinate flaggers, TCS, and traffic control crews to job sites based on availability, certifications, and project requirements.
- Accurately write up jobs, rentals, and sales orders with complete and correct details.
- Route email correspondence and phone calls to the appropriate department or individual promptly.
Operations & Administrative Support
- Provide direct administrative and personal assistance to the company owner, including calendar management, scheduling appointments, organizing documents, and handling purchases or errands with discretion.
- Perform HR‑related tasks such as inputting approved time‑off requests, assisting with interviews, drafting job descriptions, and helping develop policies and procedures.
- Maintain confidentiality when handling sensitive information and company records.
Dispatch & Field Support
- Monitor, maintain, and schedule sign orders and deliveries.
- Manage, correct, and send all required TCS Reports from Field Supervisors to customers.
- Track crew availability, certifications, and qualifications to ensure proper staffing for flagging and traffic control operations.
- Delegate tasks to Shop Hands and delivery drivers when not already assigned by the project manager, dispatch, or owner.
- Support and coordinate operational needs across multiple branches.
- Report to the Dispatch Supervisor daily with clear updates and prompt issue resolution.
Procurement & Logistics
- Source and manage apparel, promotional items, and company documents; coordinate with screen‑printing vendors as needed.
- Procure materials and equipment through approved vendors for various orders.
- Book hotels, flights, and rental cars for staff and project needs.
- Prepare and submit estimates to customers and forward approved estimates to accounting.
Skills
- Technical Proficiency: Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Drive, Sheets, Docs, Calendar), and ability to learn industry‑specific software.
- Typing: 50+ WPM.
- Interpersonal Skills: Professional, clear, and confident communication.
- Time Management: Ability to prioritize and multitask effectively.
- Attention to Detail: Accuracy in documentation, scheduling, and communication.
- Confidentiality: Ability to handle sensitive information with discretion.
Qualifications
- High school diploma or equivalent; administrative, logistics, or operations training is a plus.
- Strong communication, multitasking, and organizational skills.
- Proficiency with scheduling software, spreadsheets, and mobile communication tools.
- Ability to remain calm, decisive, and solution‑oriented under pressure.
- Willingness to work flexible hours and be available 24/7, including weekends and holidays.
- Ability to work independently and collaborate across departments.
Preferred Qualifications
- Experience as a Dispatch Assistant, Flagging Dispatcher, or similar role.
- Prior experience in traffic control, construction, logistics, or field operations.
- Familiarity with flagger certifications, TCS responsibilities, and traffic control equipment.
Pay: From $24.00 per hour
Work Location: In person
