As our Front Desk Receptionist & Patient Success Coordinator, you'll ensure patients feel welcomed, informed, prepared, and genuinely cared for from their very first interaction with our clinic.
What You'll DoFront Desk & Administrative Operations
You'll be the face of our clinic and help create an exceptional experience for every patient who walks through our doors.
Responsibilities include:
- Welcome patients with professionalism, warmth, and a concierge-level experience
- Answer incoming phone calls and assist patients with scheduling, questions, and general support
- Check patients in and out efficiently
- Collect payments, process memberships, and reconcile daily transactions
- Schedule follow-up appointments, lab visits, injections, and provider appointments
- Coordinate prescription refill requests with providers
- Maintain an organized, clean, and professional front office
- Complete appointment confirmations and daily administrative workflows
- Maintain accurate documentation within both Lobbie EMR and GoHighLevel CRM
- Support providers and Medical Assistants to ensure smooth clinic operations
Patient Success Coordination
Your primary focus will be ensuring every booked consultation has the highest chance of becoming a successful patient relationship.
Responsibilities include:
- Review every new patient consultation before the appointment
- Review consultation booking notes to understand each patient's goals, motivations, concerns, and expectations
- Transfer relevant CRM conversations into the patient's EMR so providers are fully prepared
- Review upcoming schedules and identify patients who need additional follow-up
- Confirm registration forms, intake paperwork, identification, and required documents are completed before arrival
- Reach out to patients with incomplete paperwork or outstanding items
- Coordinate appointment confirmations and answer questions before visits
- Conduct thoughtful patient follow-up after consultations, treatment starts, missed appointments, and provider requests
- Help improve patient retention through consistent, personalized communication
- Ensure every patient receives the concierge experience Gameday is known for
Qualifications
We're looking for someone who is:

- Comfortable using EMR, CRM, scheduling, and payment platforms

Experience
- 1–3 years of experience in medical administration, front desk, patient coordination, hospitality, concierge medicine, wellness, aesthetics, or customer service
- Experience with CRM and EMR software is a plus
- Bilingual Spanish is strongly preferred
