Job Summary
The Operations Assistant provides part-time administrative, operational, and front-desk safety support to ensure a secure, welcoming, and trauma-informed environment for staff, clients, and visitors. This role serves as the first point of contact for the agency, supports office operations and facilities, assists the Executive Director and Executive Assistant with administrative tasks, and provides limited, non-clinical support to advocacy staff.
Responsibilities
Front Desk, Access & Safety Support
- Serve as the primary point of contact for incoming calls and visitors
- Monitor front-door access and follow agency safety and entry protocols
- Greet visitors in a professional, trauma-informed manner while protecting confidentiality
- Maintain awareness of the office environment and promptly report safety concerns
- Follow emergency procedures and escalate safety issues to supervisors or emergency services as directed
Advocate & Client Support (Non-Clinical)
- Assist advocates with client-related administrative and logistical tasks
- Support advocates with resource coordination and documentation
- Provide basic assistance to clients as directed by advocacy staff
- Immediately refer crisis situations to certified advocacy staff
Operations & Facilities Support
- Assist maintenance with all facility needs when needed (Thrift, Shelter, Main Office)
- Communicate with vendors and maintenance staff as appropriate
- Maintain diaper and food pantries in an organized manner
Administrative & Executive Support
- Provide operational support to the Executive Director and Executive Assistant as needed
- Support program, administrative, and grant-related projects as assigned
- Training, Certification & Compliance
- Obtain and maintain required State of CT DV/SA certification within required timeframes
- Participate in required safety, trauma-informed, and confidentiality trainings
- Follow all agency policies, procedures, and mandated reporting requirements
Confidentiality & Professional Conduct
- Maintain strict confidentiality regarding clients, staff, and agency operations
- Use survivor-centered, trauma-informed communication at all times

Qualifications
- High school diploma or equivalent required; associate’s degree preferred
- Strong situational awareness and ability to follow safety procedures
- Excellent communication, judgment, and boundary-setting skills
- Ability to remain calm and professional in stressful situations
- Basic proficiency with office technology
- Ability to lift up to 50 lbs.
