Office Manager / Administrator

Construction experience is a plus, but not required. We are looking for someone with strong organizational, administrative, and financial skills who is eager to learn and grow with the company.

We are a growing, locally owned construction company specializing in custom homes and residential remodeling throughout the Tri-Cities area.
Founded in 2025, we are a small team of approximately six people focused on quality craftsmanship, strong client relationships, and delivering a professional experience from the initial planning stages through project completion.

Position Overview
The Office Manager / Administrator will support the daily administrative, financial, and operational functions of the company. This position will serve as a central point of coordination between the owner, clients and homeowners, subcontractors, vendors, and project teams.
The ideal candidate is organized, dependable, comfortable working with numbers and paperwork, and able to manage multiple priorities while maintaining accuracy and follow-through.
Responsibilities include accounting support, payroll administration, project documentation, permitting, compliance tracking, material coordination, and general office administration.
Key Responsibilities
Financial Administration
- Process weekly payroll.
- Manage accounts payable and accounts receivable functions.
- Prepare and issue invoices and customer billing statements.
- Review and reconcile vendor invoices.
- Maintain accurate and organized financial records.
- Assist with budget tracking and project cost monitoring.
- Provide documentation and support for tax preparation, audits, and financial reporting.
- Coordinate with the company's accountant and other financial professionals as needed.
Project Administration
- Track project budgets, expenditures, and related documentation.
- Maintain organized project files, contracts, change orders, and correspondence.
- Prepare pre-construction documentation and project startup materials.
- Obtain and track permits, inspections, and related approvals.
- Assist with project scheduling and administrative coordination.
- Record and distribute meeting minutes for internal and client meetings.
- Help ensure project documentation remains complete and up to date.
Client & Homeowner Relations
- Communicate with homeowners regarding material selections, orders, deliveries, and related information.
- Coordinate information between homeowners, vendors, and the project team.
- Respond to routine client inquiries and help ensure timely follow-up.
- Maintain positive and professional customer relationships throughout the project lifecycle.
Vendor & Subcontractor Management
- Coordinate material purchasing and order tracking.
- Communicate with vendors regarding orders, pricing, deliveries, and invoices.
- Maintain subcontractor records, contracts, insurance certificates, and compliance documentation.
- Support subcontractor onboarding and document collection.
- Follow up with vendors and subcontractors regarding outstanding paperwork or administrative requirements.
Compliance & Risk Management
- Maintain business licensing and registration records.
- Track insurance policies, certificates, and renewal dates.
- Maintain required company and project documentation.
- Help ensure required documentation remains current and organized.
- Assist with documentation needed for audits, inspections, and regulatory requirements.
Office Administration
- Oversee daily office operations and administrative procedures.
- Maintain organized digital and physical filing systems.
- Manage incoming communications, correspondence, and records.
- Maintain calendars, schedules, and administrative deadlines.
- Develop and improve office processes and workflows.
- Provide administrative support to the company owner and project team.
- Assist with other administrative responsibilities as needed.
Qualifications
- Experience in office management, office administration, bookkeeping, accounting support, or a related field.
- Working knowledge of payroll processing, accounts payable, and accounts receivable.
- Strong organizational, multitasking, and time-management skills.
- Excellent verbal and written communication abilities.
- Strong attention to detail and accuracy.
- Proficiency with Microsoft Office Suite.
- Experience with QuickBooks is preferred.
- Construction or project administration experience is a plus, but not required.
- Ability to maintain confidentiality when handling financial and company information.
- Ability to work independently, prioritize responsibilities, and follow through on tasks.

We are looking for someone who is dependable, organized, proactive, and detail-oriented.
The right person doesn't need to know everything about construction on day one. We are more interested in finding someone with strong administrative and financial skills who learns quickly, communicates well, takes initiative, and takes pride in doing their work accurately.
Because we are a small and growing company, this person will have the opportunity to work directly with the owner and have a meaningful role in helping build and improve the company's systems and processes immediately.

Reports To
Company owner. This position works directly with the company owner and will interact regularly with clients, homeowners, subcontractors, vendors, and project team members.
