Position Summary
We are seeking a detail-oriented Project Administrator to support our Project Managers and field teams throughout the life cycle of construction projects. This role is critical to keeping projects organized, compliant, and financially accurate. The ideal candidate is highly organized, comfortable juggling multiple priorities, and able to communicate effectively with internal teams, subcontractors, and clients.
Key Responsibilities
Project Administration & Documentation
- Set up and maintain project files and job records in the company ERP system
- Create and track change requests and change orders in coordination with Project Managers
- Maintain project documentation including contracts, insurance, submittals, RFIs, and closeout documents
- Ensure all required documentation is properly filed and up to date
Financial & Billing Support
- Assist with monthly project billing, including gathering backup and supporting documentation
- Track billing status, retainage, and change order impacts
- Coordinate with accounting on job cost accuracy and revenue recognition support
- Assist Project Managers with projections and job tracking as needed
Communication & Coordination
- Serve as an administrative point of contact between Project Managers, accounting, vendors, and clients
- Follow up on outstanding items such as approvals, documentation, and signatures
- Support project meetings by preparing documentation and tracking action items
Compliance & Closeout
- Assist with project closeout packages, warranties, and final documentation
- Help ensure compliance with owner, contractor, and internal requirements
- Support audits and internal reviews by maintaining accurate and organized records
Qualifications
Required
- Experience using an ERP or accounting software
- Minimum 2 years of experience in an accounting, accounts payable (AP), accounts receivable (AR), project administration, or construction administration role.
- Strong understanding of accounting processes, including invoice processing, job costing, purchase orders, billing, or payment applications.
- Strong organizational skills with high attention to detail
- Ability to manage multiple projects and deadlines simultaneously
- Proficiency with Microsoft Excel, Word, and Outlook
- Strong written and verbal communication skills
- Ability to work independently while supporting a team environment
Preferred
- Construction industry experience
- Experience with construction ERP systems
- Familiarity with job costing, billing, or contract administration
- Associate’s or Bachelor’s degree in business, accounting or related field
