Position Summary
The 1031 Exchange Coordinator is responsible for managing and coordinating tax-deferred exchange transactions under IRC Section 1031 from initiation through completion. This role serves as a primary point of contact for exchangers, attorneys, real estate professionals, title companies, and settlement agents, ensuring all exchanges are processed accurately, timely, and in compliance with IRS regulations and company procedures.
The ideal candidate possesses strong organizational skills, attention to detail, and the ability to manage multiple deadline-driven transactions in a fast-paced environment.
Essential Duties & Responsibilities
- Manage 1031 exchange transactions from account opening through final exchange completion (1031 specific training to be provided).
- Prepare, review, and process exchange documentation, including exchange agreements, assignment documents, notices, closing instructions, and related correspondence.
- Coordinate with exchangers, attorneys, title companies, escrow officers, brokers, lenders, and settlement agents to facilitate successful exchange transactions.
- Monitor and track critical IRS deadlines, including identification and exchange completion periods.
- Review closing statements, purchase and sale agreements, title documents, and settlement packages for accuracy and compliance.
- Verify exchange proceeds, wire instructions, and transactional details prior to fund disbursement.
- Maintain accurate electronic and physical transaction files in accordance with company policies.
- Communicate proactively with clients and transaction parties to obtain required documentation and resolve issues.
- Ensure compliance with internal controls, company policies, and applicable IRS regulations governing 1031 exchanges.
Required Qualifications
- 2-5 years of experience in 1031 exchange administration, real estate closings, title, escrow, or a real estate law practice.
- Strong understanding of real estate transaction processes, closing documentation, and settlement procedures.
- Experience preparing and reviewing legal and transactional documents with a high degree of accuracy.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills with the ability to manage multiple transactions simultaneously.
- Proficiency in Microsoft Office Suite and transaction management software.
- Ability to work effectively in a deadline-driven, client-focused environment.
Preferred Qualifications
- Experience in real estate transactions.
- Direct experience administering 1031 exchanges and familiarity with IRS Section 1031 regulations.
- Bachelor's degree in Business, Finance, Legal Studies, Real Estate, or a related field. Paralegal certificate with applicable experience would be considered as well.
- Knowledge of escrow accounting, settlement procedures, and title processes.
