Job Summary
We are seeking a dynamic and bilingual Sales Assistant with at least two years of relevant experience to join our team. This role requires fluency in both English and Spanish, enabling effective communication with a diverse client base. The ideal candidate will possess strong office management skills, excellent customer service abilities, and proficiency in various computer applications. As a vital support member of our sales and administrative team, you will facilitate client interactions, manage administrative tasks, and contribute to the overall efficiency of our operations including in office samples creation.
Key Responsibilities:
- Provide exceptional customer support via phone, email, and in-person interactions in both English and Spanish
- Manage front desk duties, including greeting visitors and handling multi-line phone systems professionally
- Maintain organized filing systems and handle data entry with accuracy
- Assist with calendar management and scheduling appointments for sales and administrative teams
- Support office management tasks such as bookkeeping using QuickBooks and maintaining confidential information securely
- Prepare correspondence, proofread documents, and ensure clarity in all client communications
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily tasks
- Handle clerical responsibilities including filing, photocopying, and managing office supplies
- Support bookkeeping activities such as invoicing, expense tracking, and basic financial record keeping
- Contribute to team efforts by providing administrative assistance as needed to ensure smooth operations
Qualifications
- Minimum of two years of experience in sales support or administrative roles within a professional office environment
- Bilingual proficiency in English and Spanish is essential
- Strong computer literacy with expertise in Microsoft Office, Google Workspace, QuickBooks, and multi-line phone systems
- Demonstrated experience in office management, data entry, bookkeeping, and clerical tasks
- Excellent organizational skills with the ability to prioritize multiple responsibilities effectively
- Exceptional customer service skills with professional phone etiquette and communication abilities
- Ability to handle confidential information discreetly and responsibly
- Proven time management skills to meet deadlines efficiently
- Prior experience as a personal assistant or in calendar management is advantageous
