This position starts as part-time with the opportunity to grow into a full-time role as the company continues to expand.
Position Overview
The Claims & Operations Assistant supports the Claims & Operations Manager with the day-to-day administrative and operational responsibilities that keep projects moving from initial contact through closeout.
This is a great opportunity for someone who enjoys staying organized, learning new skills, and taking on increasing responsibility. Experience in restoration or insurance is not required. We are looking for the right person and will provide training in areas such as insurance claims, Xactimate (XM8) estimating, CRM management, project coordination, and general contracting operations.
Responsibilities
- Support the Claims & Operations Manager with daily operational and administrative tasks.
- Maintain accurate CRM records, job files, and project documentation.
- Track projects throughout the job lifecycle and follow up on outstanding tasks.
- Assist with insurance claims, estimate preparation, and supplement documentation.
- Receive training in Xactimate (XM8) estimating.
- Assist with customer invoicing, subcontractor invoice processing, and commission administration.
- Maintain subcontractor compliance records, including Certificates of Insurance (COIs) and W-9s.
- Prepare project closeout documentation, warranties, and completion packets.
- Assist with scheduling, customer communication, and project coordination.
- Help document company processes, organize templates, and improve office systems.

Previous experience in an administrative, customer service, office, insurance, construction, or project coordination role is preferred, but not required.

Pay: $20.00 - $30.00 per hour
