Essential Duties & Major Responsibilities
Patient Registration & Check-In/Check-Out
- Welcome and greet all patients and visitors in a warm, professional manner
- Complete accurate patient registration, including demographics, insurance information, and
consent forms
- Verify and update patient information at every visit per established protocol
- Process check-in and check-out following established health center workflows
- Print and manage AVS per department protocol
- Assist walk-in patients with appointment scheduling, paperwork and form retrieval
Scheduling
- Schedule patient appointments according to established protocol and in collaboration with
clinical staff
- Manage the appointment schedule to optimize patient flow and provider availability
- Coordinate scheduling needs for walk-in patients
- Respond promptly and accurately to scheduling requests via phone, in-basket, and in-person
Insurance & Financial
- Run insurance eligibility verification for upcoming and same-day appointments
- Review and confirm active coverage, co-pay requirements, and referral authorizations
- Collect co-pays and payments; follow established cash reconciliation protocols daily
- Communicate insurance concerns or discrepancies to appropriate staff
In-Basket & eFax Management
- Monitor and process assigned in-basket tasks in a timely and accurate manner
- Receive, sort, and route incoming eFax communications to the appropriate clinical or
administrative staff
- Document and follow up on in-basket items per department standards
Administrative & Coverage
- Provide cross-coverage to Call Center and other medical departments as needed
- Operate office equipment including computers, printers, copiers, and e-fax proficiently
- Maintain organized and clean front desk and reception area
- Complete all required documentation accurately and within established timeframes
Organizational Commitment
- Uphold CHC Values and Standards in all interactions and duties
- Participate in required trainings, including MedTrainer modules and department-specific
training, completed on time
- Cross covering for other departments and locations as needed
- Schedule flexibility may require days, evenings and weekends.
- Perform all other job-related duties that may be assigned.
- Demonstrate understanding and commitment of the health center mission
- Demonstrates understanding and commitment to the established CHC values and standards
Minimum Qualifications:
- High School Diploma or GED required; Associate Degree in Secretarial Science, Health
Administration, or equivalent preferred
- Minimum 1 year of experience in a medical office, healthcare, or customer service environment
preferred
- Proficiency in computer data entry and electronic health record (EHR) systems
- Knowledge of basic medical terminology preferred
- Familiarity with insurance verification and eligibility processes preferred
- Bilingual is strongly preferred
- Demonstrated proficiency in reading, writing, and speaking English
- Strong interpersonal skills with the ability to communicate effectively with patients, peers, and
leadership
- Ability to work in a fast-paced, high-volume medical office environment
- Demonstrated ability to maintain composure and professionalism under pressure

through CHC’s performance evaluation system.

Environmental Working Conditions: The environment is a normal office environment of a busy Community
Health Center.
Physical and Mental Requirements:
Position requires physical ability to move about the health center and perform standard office tasks including extended
computer use, standing, walking, reaching, and stooping. Requires normal visual acuity and standard dexterity to
operate computers, printers, photocopiers, and fax machines. The physical and mental demands described are
representative of those required
