Job Summary
Gienapp Architects is seeking a dynamic and highly organized Project Coordinator to join our team! This is not an administrative role; you'll be working directly with project documents and processes, giving our project managers the bandwidth to focus on the decisions only they can make. We are seeking someone with enough architectural fluency to read a drawing set, understand what’s being asked in an RFI or submittal, and know when something is routine versus when it needs to go back to the PM.
Duties
- Assist in planning, executing, and closing projects by coordinating schedules, resources, and deliverables
- Maintain detailed project documentation, including timelines, progress reports, and meeting notes
- Communicate effectively with team members, clients, and stakeholders via phone, email, and in-person meetings
- Manage calendars and schedule appointments to ensure timely task completion
- Support data entry and record-keeping using spreadsheets and productivity software such as Microsoft Office
- Support production work in Revit through incorporating markups, cleaning up sheets ahead of deadlines, and minor changes based on PM direction
Please note that while drafting support is a part of the role, it is not a designer/drafter position. The primary focus is providing support to the project managers.
Requirements
- Some architectural background such as an architectural degree or major, co-op or internship, or early-career experience between 1-5 years
- Proficiency with editing documents in and extracting information out of Revit and similar software
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with spreadsheets and data entry (FileMaker experience a plus)
- Excellent organizational skills with the ability to prioritize tasks effectively
- Ability to work efficiently under pressure while maintaining attention to detail
- Strong typing skills along with proofreading abilities to ensure accuracy in all documentation
- Demonstrated time management skills with the ability to handle multiple projects simultaneously
- Familiarity with Massachusetts public bidding a plus
Pay: $50,000.00 - $65,000.00 per year
