Position Overview:
We are seeking a detail-oriented and empathetic Intake Coordinator to manage the intake process for Gestational Carriers. This role is primarily administrative in nature but requires comfort working in a medical setting and familiarity with medical terminology. The ideal candidate is highly organized, professional, and able to provide compassionate communication while balancing multiple priorities.
Key Responsibilities:
- Serve as the primary point of contact for prospective Gestational Carriers.
- Collaborate with clinical staff to ensure a smooth intake and transition into the medical process.
- Conduct outreach and maintain clear, compassionate communication with applicants, agencies, and intended parents.
- Review medical and personal history forms for accuracy and completeness.
- Strong attention to detail, with the ability to recognize important information in complex medical records.
- Monitor and manage email inquiries, ensuring timely follow-up and resolution.
- Coordinate scheduling of screenings, and related appointments.
- Organize and maintain accurate physical and digital records in compliance with HIPAA.
- Thorough understanding of HIPAA regulations and a strong commitment to maintaining patient/client confidentiality.
Qualifications & Skills:
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
· Ability to ask questions, clarify information, and provide thoughtful feedback.
- Proficiency with Microsoft Office Suite, Outlook, and database systems
- Ability to manage multiple tasks with efficiency and attention to detail.
- Compassionate and professional demeanor in sensitive situations.
- Prior experience in healthcare administration, fertility, or women’s health is preferred but not required.
- Familiarity with medical terminology a plus.

Pay: $17.00 - $19.00 per hour
