Position Summary
We are seeking a professional, organized, and customer-focused Receptionist/Administrative Assistant to serve as the first point of contact for students, visitors, and prospective applicants. This position reports directly to the Campus Administrator and provides administrative support to the Admissions Officer and other campus staff. The ideal candidate is dependable, detail-oriented, thrives in a fast-paced office environment, and is committed to delivering outstanding customer service.
Responsibilities
- Greet and assist students, visitors, and prospective applicants in a courteous and professional manner.
- Answer, screen, and direct incoming phone calls.
- Schedule appointments for admissions, testing, and other campus services.
- Maintain a welcoming, organized, and professional front desk area.
- Perform weekly printing and preparation of classroom and administrative materials.
- Enter, update, and maintain accurate student records and data.
- Verify student attendance records and maintain student files in accordance with company policies.
- Scan, copy, file, and organize physical and electronic documents.
- Process incoming and outgoing mail and deliveries.
- Respond to emails and route inquiries to the appropriate staff member.
- Coordinate with instructors and administrators regarding schedules and student needs.
- Prepare classroom materials and instructor packets.
- Contact prospective students to confirm appointments and follow up on missed appointments.
- Assist with testing schedules and examiner appointments.
- Update bulletin boards and campus communications.
- Maintain office supplies and notify management when inventory requires replenishment.
- Monitor the lobby and ensure visitors follow campus sign-in procedures.
- Perform light data entry using student management systems and Microsoft Office applications.
- Assist campus staff with general administrative duties, special projects, and daily office operations.
- Handle confidential student and company information with professionalism and discretion.
- Perform other duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Previous receptionist, front desk, customer service, or administrative experience preferred.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Excellent organizational and time management abilities.
- Strong attention to detail and accuracy.
- Ability to multitask, prioritize responsibilities, and meet deadlines.
- Proficiency with Microsoft Word, Excel, Outlook, and other standard office equipment.
- Ability to work independently while contributing effectively as part of a team.
- Professional appearance and positive attitude.
Pay: From $12.00 per hour
