Bartell Music Academy is a premier destination for private music lessons in Spokane, where students and families become part of a community. Our mission is to empower students, young and old, through the power of music. We offer music lessons in the afternoon to evening hours, typically till 7pm.
Position Summary
We are looking for a Front Office Lead who wants both: the daily energy of greeting students and families at the front desk, and real ownership of enrollment, teacher scheduling, and academy events. You will be at the front desk, trusted to make day-to-day decisions on your own.
Employment Type: Full-time (0.85 FTE), W2 employee, non-exempt
Hourly Rate: $23–$27/hr
Schedule/Hours: On-site, Monday through Friday, occasionally Saturday
Key Responsibilities
Front Office Day-to-Day
- Be the first face and voice of the academy for students, families, and guests
- Run the front desk with confidence: calls, walk-ins, and everyday questions
- Keep the calendars on track: every trial, makeup lesson, and daily appointment confirmations accurate
- Take charge of enrollment, billing questions, and withdrawals
- Stay on top of front office supplies and inventory
Coordination with Teachers
- Take the lead on instructor scheduling, substitute coverage, and teacher transitions
- Support new instructors making sure front-desk logistics are ready to go from day one
Event Planning
- Planning and executing the academy's two annual recitals, from sign-ups through event day
- Coordinate venue logistics and family communication, making sure programs and event materials are completed on time
What We Are Looking For
- 3+ years of experience in a role with real ownership, preferably in a small business setting
- 3+ years in a customer service role
- Motivated by ownership and energized by the challenge of helping a small business grow into something bigger
- Someone who genuinely enjoys front desk work and connecting with people
- Outgoing, warm, highly organized, and dependable
- Strong communication skills, written and verbal
- Comfortable making decisions on your own, with clear systems in place for what gets escalated
- Ability to work independently with little oversight
- Strong organizational skills and the ability to manage many moving parts at once without losing accuracy
- Tech-savvy and detail-oriented, proficient in G Suite
- Fluent in English (reading, writing, and speaking); 55+ WPM typing
- Able to lift up to 25 lbs
- Music background is a plus, but not required
