Job Summary
HearNow ENT is seeking a reliable and detail-oriented Patient Care Coordinator to manage administrative tasks, coordinate care, and ensure excellent communication between patients, providers, and referral sources.
Key Responsibilities
- Answer and route phone calls, emails, and inquiries promptly.
- Coordinate care for new referrals and established patients
- Make outbound calls to patients to schedule appointments/procedures and follow up as needed
- Make outbound calls/emails to obtain additional information, missing documentation/forms, or clarification from our referral sources
- Maintain and update accurate patient data in our EHR (Modernizing Medicine) and Google Sheets/Excel
- Manage multiple clinic email inboxes and accurately file emails
- Process requests for medical records and other documents.
- Work closely with clinical and administrative staff to ensure smooth operations
- Provide excellent customer service and maintain patient confidentiality (HIPAA compliance)
Experience and requirements:
- Fluency in Spanish is required to assist with patient communication and appointment coordination for patients who speak only Spanish.
- High school diploma or GED required
- Capable of multitasking without compromising attention to detail
- Ability to work independently while following guidance from management
- Strong computer and typing skills
- Strong organizational and time management abilities
- Excellent verbal and written communication skills
- Professional appearance and attitude
- Experience using Google Sheets and/or Excel is a plus
- Familiarity with medical terminology is a plus
- Proficiency with EHR systems (e.g., ModMed, Epic, Athena) is a plus

Pay: $15.00 - $18.00 per hour
