We are a Pediatric Dental and Orthodontic Group in Seymour, TN looking to add a Full-Time Patient Coordinator to our team. The work schedule would currently be for Monday through Thursday from 7:45am until 5:00pm.
Job Summary:
As a Patient Coordinator, you will be responsible for managing patient scheduling for both pediatric and orthodontic specialties, facilitating communication between patients and dental staff, handling administrative tasks, and ensuring a positive patient experience. Your primary goal will be to provide exceptional customer service and support the efficient functioning of the dental and orthodontic practice schedule.
Responsibilities:
- Appointment Scheduling: Coordinate and schedule patient appointments using electronic scheduling systems. Ensure efficient appointment booking, rescheduling, and cancellations while maintaining accurate patient records.
- Patient Communication: Serve as the primary point of contact for patients, answering inquiries, providing information about services, and addressing concerns in a professional and courteous manner. Communicate appointment reminders and follow-up instructions to patients via phone, email, or in-person.
- Patient Intake and Registration: Collect and verify patient information, including insurance details and medical history. Assist patients with completing necessary forms and paperwork.
- Insurance Coordination: Verify patient insurance coverage, process insurance claims, and assist patients with understanding insurance benefits and coverage limitations. Collaborate with insurance providers to resolve billing and coverage issues.
- Administrative Support: Perform various administrative tasks such as maintaining patient records, updating databases, filing documents, and managing office supplies. Assist with coordinating referrals to specialists and managing medical records requests.
- Patient Satisfaction: Ensure a welcoming and comfortable environment for patients. Listen to patient feedback, address concerns promptly, and strive to enhance the overall patient experience. Implement strategies to improve patient satisfaction and retention.
- Team Collaboration: Collaborate with dental staff, including dentists, hygienists, and assistants, to coordinate patient care, schedule procedures, and optimize workflow efficiency. Communicate effectively with team members to ensure seamless coordination of patient appointments and treatment plans.
Qualifications:
- High school diploma or equivalent; additional education or training in dental office administration is a plus.
- Prior experience in a customer service or administrative role, preferably in a healthcare or dental setting.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with patients and colleagues.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
- Empathy, patience, and a customer-focused attitude towards patient care.
- Knowledge of dental terminology, procedures, and insurance billing practices is desirable but not required.
Having the right personality for a pediatric and orthodontic office is imperative!! Experience in dental or medical administration is preferred, but we are willing to train the right person who has the right attitude. Knowledge of Dentrix and Cloud 9 practice management software systems is a plus. The ideal candidate should be good with children and parents, extremely patient, outgoing, reliable, and have good written and verbal communication skills. Come join our experienced team!
