The Volunteer and Program Coordinator drives Bread Break’s local food recovery mission in Sioux Falls, SD and beyond. This exempt, $48,000 salaried role combines hands-on facility management, volunteer engagement, and strategic program growth to advance food security and environmental sustainability.
Position Summary: The Volunteer and Program Coordinator is the heartbeat of Bread Break’s daily operations. This role is responsible for recruiting, training, and scheduling volunteer drivers and food sorters while managing daily logistics using the Food Rescue US and other software. Working in tandem with the Executive Director and internal committees, this coordinator maintains the vehicle fleet, upholds SD Safe Food Handling and ServSafe standards, and evaluates partnership growth, including assisting with new catered-event and produce recovery programs.
This position allows 1/3 remote time, which is primarily dedicated to responding to volunteer driver inquiries. Because Bread Break operates food recovery routes seven days a week, this role requires a flexible schedule, an agile mindset, and a willingness to step into the field to run routes when necessary. This is an amazing opportunity for an organized, proactive individual deeply interested in social justice and environmental sustainability. Must be willing to be hands on with equipment and ability to lift 50 pounds.
Key Responsibilities
Volunteer Management & Route Support (20%)
- Develop and execute a strategic volunteer recruitment and retention plan to maintain a robust volunteer force.
- Onboard and train volunteers on using the Food Rescue US application for routing and route claiming.
- Train volunteers on basic ServSafe guidelines, safe food handling, temperature control, and cross-contamination prevention.
- Oversee volunteer scheduling via the app, ensuring all daily and weekly Volunteer - Bread Break routes are consistently covered.
- Provide remote communication support, responding promptly to volunteer driver inquiries and real-time transit issues.
Program Coordination, App Management & Fleet Logistics (30%)
- Administer the Food Rescue US app platform, including setting up automated rescue schedules, updating routes, and troubleshooting user issues.
- Monitor real-time app data to track volunteer check-ins, route progress, and donation fulfillment.
- Log, verify, and audit all food donation poundage recorded in the app by volunteers and food donors.
- Schedule regular vehicle maintenance, routine safety checks, and coordinated refueling of the Bread Break vehicle fleet.
- Enforce ServSafe food compliance standards during transit and storage, including monitoring cooler temperatures and delivery timelines.
Partnership Development & Route Assessment (30%)
- Collaborate with the Executive Director to identify, pitch, and onboard new food donors and recipient nonprofit agencies.
- Personally drive and execute new donor routes initially to assess timing, safety, and logistical feasibility before handing them off to volunteers.
- Serve as the primary emergency backup driver, stepping in to run food recovery routes if volunteers are unable to do so due to unforeseen circumstances.
- Assist the Executive Director with launching two new key initiatives: Catered-Event food recovery and expanded local produce recovery.
- Assist in critical decision-making regarding the acceptance of new donation streams or adjusting existing schedules based on supply, demand, and season.
Facility Upkeep, Strategic Committee & Public Outreach (20%)
- Assist with the board-led Operations and Logistics Committee to set long-term program infrastructure and equipment goals.
- Oversee daily facility maintenance, ensuring food storage areas, commercial refrigerators, and freezers meet strict sanitation standards.
- Manage strict FIFO (First In, First Out) inventory rotation protocols for highly perishable items, specifically high-risk catered-event foods and fresh produce.
- Assist with community events, public outreach, and educational initiatives to raise awareness about Bread Break's mission.
- Perform other administrative and operational duties as necessary to support organizational health.
Work Schedule & Environment
- Onsite (approx. 70%): Spent at the facility managing inventory, monitoring the fleet, cleaning, tracking equipment, attending public outreach events, meeting with onsite partners, and driving field routes.
- Remote (approx. 30%): Flexible hours spent handling digital tasks, logging app data, and serving as an on-call point of contact for volunteer drivers running active 7-day food recovery routes.
Qualifications
- Experience: Minimum 2-3 years of experience in volunteer management, nonprofit program coordination, warehouse/fleet logistics management, food service industry, or community organizing (or related experience may be considered).
- Education: Associate’s or Bachelor’s degree in Non-Profit Management, Logistics, Hospitality, Social Justice, Sustainability, or a related field (or equivalent combination of experience).
- Certifications: Current ServSafe Manager Certification (or willingness to obtain it within the first 30 days of employment).
- Skills: Strong interpersonal, organizational, and team-building skills. Tech-savvy with specific proficiency in mobile apps, database systems, and text/phone-based communication tools.
- Requirements: Flexible availability to support a 7-day operational loop and handle emergency field driving. Valid driver’s license with an excellent driving record. Must be able to pass a background check and consistently lift/move up to 40 lbs.
