We are looking for a Personal Assistant to be the trusted right hand for a CEO and their spouse (also a founder). Your mission is to make sure everything runs seamlessly across their household and personal life.
This is a fast-paced, dynamic role where no two days look the same. One day you might be coordinating a heli-skiing weekend in Europe, and the next you are sourcing a private chef, setting up Starlink, coordinating a lobster bake, or finding someone to build custom AI agents to automate their workflows. We want someone who thrives on variety, anticipates needs before they pop up, and loves making the impossible happen with ease. If you are a proactive, detail-driven problem solver who enjoys keeping the personal side of an executive's life running perfectly, you will love this role.
To start, you'll be paid hourly. Once we feel comfortable, we would love to move you to a salary position within our company.
You will get a front-row seat to the entrepreneurial life, hands-on experience with highly unique projects, and the chance to grow alongside two high-performing founders.
About the role and why it’s unique:
- Manage a complex calendar, scheduling appointments, meetings, and personal commitments
- Organizing travel. We have a travel agent for flights, but you will handle requests, accommodations, remote work setups, chef sourcing, seed-oil-free restaurant options, groceries, training, and local transport. Get ready for lots of spreadsheets and charts!
- Plan fun. We want to have more fun. Would love trips planned quarterly and more organization behind doing rad things with rad people.
- Teaming up with the CEO’s company assistant to keep everything synced.
- Tracking and managing personal bills, subscriptions, and payments. Paying staff.
- Diving into research tasks, like vetting vendors, sourcing vintage furniture, or finding the best farm-fresh foods.
- Booking personal and household appointments for wellness, health, and fitness.
- Working closely with trainers, nutritionists, bodywork experts, and wellness coaches to keep the CEO’s health goals on track. You will proactively manage fitness programs, clean eating routines, sleep optimization tools, and bodywork so they maintain peak well-being during demanding work hours.
In-person support (About 60% of the time, as the couple travels often)
- Handling daily household needs, like warming up lunch plates, washing fruit, keeping water jugs filled, and prepping smoothies.
- [Working with Chef] Place and manage online orders and restocks for groceries and household items (shopping, unpacking, stocking pantry, and coordinating restocks)
- Overseeing packages, returns, and locker runs.
- Light prep of smoothies and chia seed puddings, etc.
- Keeping the home environment tidy and organized. This means keeping surfaces clear, setting up workout stations, and doing light upkeep like emptying the dishwasher and taking out the trash. You schedule a regular cleaner for the heavy lifting.
- Running errands (dry cleaning, returns, repairs, etc.)
- Sourcing and coordinating contractors, from plumbers and electricians to landscapers and power washers.
- Supporting travel routines. You will assist with packing and unpacking, organizing closets, doing light laundry, securing the house, covering the car, and managing keys.
- Provide support and coordinating special events and dinners
Person should be:
While we love to see some past experience, we are completely open to teaching the right person. This role is a perfect match for former event planners, wedding coordinators, or project managers who are used to keeping a million plates spinning at once.
- Detail-oriented: You are incredibly thorough and miss nothing.
- Resourceful: You are fast, independent, and have a "figure it out" mentality. You always find a way.
- Relentless: If you hit a roadblock, you become obsessed until you find a solution.
- Adaptable: You are totally comfortable juggling a lot of moving pieces at once.
- Collaborative: You can seamlessly report to multiple people, including the husband, the wife, and the husband's executive assistant.
- Highly organized: You love keeping everything neat in Google Drive, creating manuals, writing clear instructions, and building systems.
- Forward thinking: You are always three steps ahead.
- Tech & AI savvy: You are great with scheduling and communication tools. You are also an AI power user. We are talking Claude-level building and automating, not just copying and pasting into ChatGPT.
- A great communicator: You can talk effectively with anyone. You will represent us, so we want someone people genuinely love interacting with.
- Street smart: You have great common sense and situational awareness.
- Bonus - Ability to travel
This role goes way beyond a traditional 9 to 5 and is built for someone who loves a fast-paced environment! The wife moves incredibly quickly. She thinks fast, speaks fast, and acts fast. You will thrive here if you are the ultimate planner in your friend group, the person who builds detailed spreadsheets for your own birthday, and the one everyone knows can charm their way into making absolutely anything happen. You are savvy, quick on your feet, and a master at getting stuff done.
