Finished Basements Plus and Dry Basements Plus are looking for an organized, detail-oriented Office Administrator who takes pride in accurate work, clear communication, and dependable follow-through.
This is not a receptionist-only position. The Office Administrator will help keep information accurate, processes moving, departments connected, and routine administrative work completed consistently.
A significant portion of the position supports our Sales Department through CRM accuracy, reporting, documentation, follow-through, and communication across the team. You will work with leadership and multiple departments, so the ability to communicate clearly, ask good questions, and address problems directly is important.
We are looking for someone who notices inconsistencies, follows up when information is missing, and takes responsibility for completing assigned work accurately. If you enjoy creating order, working with people, and solving everyday administrative problems, this role should be a strong fit.
What You’ll Do
- Maintain accurate customer, appointment, lead, sales, and operational information within company systems
- Review records and reports for missing, incomplete, or inaccurate information
- Follow up directly with employees when corrections, documentation, or additional information are needed
- Maintain Excel spreadsheets, reporting templates, and recurring administrative reports
- Work confidently with formulas, filters, sorting, formatting, and pivot tables
- Support Sales leadership with reporting, CRM administration, documentation, and administrative follow-through
- Coordinate information between Sales, Production, Design, Marketing, Finance, and other departments
- Maintain organized electronic and physical records
- Prepare documents, internal communications, and business information accurately and professionally
- Handle commission-related, financing, customer, employee, and other confidential information with discretion
- Identify recurring administrative issues and bring them to the attention of the appropriate manager
- Suggest practical improvements when you see opportunities to make routine work more accurate or efficient
- Manage multiple priorities and follow issues through to completion
- Escalate unresolved issues when management involvement is needed
- Support special projects as needed
What We’re Looking For
- Exceptional attention to detail and a high standard for accuracy
- Strong organizational skills and the ability to keep multiple priorities moving at once
- Ability to work independently within established responsibilities
- Professional and clear written and verbal communication
- Comfortable following up with coworkers when information, documentation, or corrections are needed
- Strong Microsoft Office skills, particularly Excel
- Working knowledge of Excel formulas, filters, sorting, formatting, and pivot tables
- Ability to learn business systems quickly and understand how information flows between departments
- Experience with CRM, ERP, scheduling, reporting, or similar business software preferred
- Previous office administration, sales administration, administrative support, or operations experience preferred
- Strong judgment when handling confidential information
- Willingness to ask questions when information is inaccurate, incomplete, or unclear
