Position Overview
The Licensed Assisted Living Administrator will oversee the day-to-day operations of Gracewood Senior Living while ensuring compliance with applicable Virginia assisted living regulations and Gracewood policies and procedures.
Because of our small, residential setting, this position is highly personal and hands-on. The Administrator will work closely with residents, families, caregivers, healthcare providers, and community partners to ensure each resident receives individualized attention and quality care.
Key Responsibilities
Operations & Leadership
- Oversee the day-to-day operations of the assisted living community.
- Lead, supervise, support, and mentor caregivers and auxiliary staff, including the in-house chef.
- Promote a positive, respectful, and accountable workplace culture.
- Coordinate staffing schedules and ensure adequate coverage based on resident needs and regulatory requirements.
- Participate in staff training, orientation, performance management, and ongoing development.
- Serve as a hands-on leader who is visible and accessible to residents, families, and staff.
Resident Care & Family Support
- Serve as a care manager and resource for residents and their families.
- Help ensure individualized service plans and care needs are appropriately assessed, implemented, documented, and monitored.
- Monitor the delivery of personal care, medication management, activities of daily living, and other services provided to residents.
- Support residents' dignity, independence, preferences, and quality of life.
- Communicate proactively with families regarding resident needs, concerns, changes in condition, and care coordination.
- Respond professionally and compassionately to resident and family concerns.
Regulatory Compliance & Documentation
- Ensure compliance with applicable Virginia Department of Social Services assisted living regulations and other applicable federal, state, and local requirements.
- Maintain accurate and timely resident records, staff records, incident documentation, assessments, service plans, and other required documentation.
- Monitor resident rights, abuse and neglect prevention/reporting requirements, medication management, infection control, emergency preparedness, and safety procedures.
- Assist with inspections, audits, licensing requirements, and corrective action plans when necessary.
- Identify operational or compliance concerns and take appropriate action to address them.
Healthcare & Community Coordination
- Act as a liaison between Gracewood, residents and families, physicians, hospitals, rehabilitation facilities, hospice, home health agencies, pharmacies, and other healthcare providers.
- Coordinate healthcare services and communicate changes in resident condition to the appropriate parties.
- Develop and maintain positive relationships with healthcare professionals and community organizations.
- Help coordinate admissions, transitions, and discharges to promote a smooth experience for residents and families.
Activities & Quality of Life
- Develop, coordinate, and maintain a calendar of meaningful activities and events that encourage social engagement, physical activity, mental stimulation, and emotional well-being.
- Help create a warm, engaging community atmosphere where residents can maintain interests, routines, and meaningful connections.
- Encourage resident and family participation in community activities and events.
Administrative Responsibilities
- Assist with scheduling, reporting, record keeping, and administrative operations.
- Monitor supplies, operational needs, and resources to support efficient community operations.
- Assist with budgeting and responsible resource management.
- Utilize Microsoft Office, including Outlook and Excel, and other software applications as needed.
- Maintain professional communication through email, phone, written documentation, and in-person interactions.
Qualifications
- Current, unrestricted Virginia Licensed Assisted Living Administrator license or other qualifying Virginia administrator credential.
- 3+ years of assisted living or senior living experience preferred.
- 1+ year of memory care/dementia care experience preferred.
- Demonstrated experience supervising and supporting healthcare or residential care staff.
- Strong knowledge of assisted living operations, resident rights, documentation, and regulatory compliance.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to handle sensitive situations with professionalism, patience, and sound judgment.
- Comfortable working in a small, close-knit residential environment where leadership is visible and hands-on.
- Proficiency with Microsoft Office, including Outlook and Excel, with the ability to learn new technology and applications.
