The Navarre Beach Area Chamber of Commerce is seeking a part-time/full-time Front Office Assistant and Member Services Coordinator. This is an amazing opportunity for an outgoing, self-motivated and highly organized professional to work with a growing and very active Chamber.
This position reports to the President/CEO of the Chamber.
Responsibilities include, but are not limited to the following:
GENERAL FRONT OFFICE DUTIES:
- Greet visitors, residents, members, prospective members, etc. at the front desk of The Navarre Chamber Information Center
- Completing daily office responsibilities such as answering phone calls, filling requests, recording reservations, organizing files, maintaining office supplies, etc.
- Provide operational support of payment processing and weekly deposits, as needed.
- Distribute phone, email and walk-in inquiries appropriately
- Fulfill inquiries (phone, mail, walk-in and email) in a timely manner
- Responsible for conference room rental and scheduling events and meetings
- Mass distribution of promotional materials
- Keep brochure and business card spaces up to date with "member only" information
- Assist with changes and updates to the website
- Handling confidential information in a professional and discreet manner
- Act as community information liaison and answer general community inquiries
- Continuously improving office functionality
- Assist tenants of The Navarre Chamber Information Center as needed.
- Responsible for maintaining, organizing, ordering and restocking all aspects of the Chamber Building (including storage), as well as overall cleanliness of the building so they are always available for visitors.
MEMBERSHIP
- Maintain ChamberMaster CRM daily for invoicing, tracking membership renewal date and marketing member businesses.
- Input new members and prospects into database
- Assist with member recruitment
- Actively reach out to delinquent members
- Prepare new member packets for distribution
- Manage volunteers
- Public Relations tracking (newspaper clippings, etc.)
- Compile membership statistical reports
EVENT MANAGEMENT
- Prepare for monthly chamber meetings & events
- Attend monthly chamber meetings & events when needed
- Document all work processes and procedures thoroughly and accurately
- Keep Community Calendar updated
- Keep Chamber Committee Calendars updated
- Assist and support the Chamber's committees
- Representing the Chamber at events when needed
THE SUCCESSFUL CANDIDATE WILL HAVE:
- Have outstanding written, verbal, social media and communication skills – position requires professional contact and communications with business community, not-for-profit organizations, citizens, visitors and County officials and personnel
- Exceptional customer service and relationship building skills with coworkers, members and volunteers
- Enthusiasm and desire to perform duties to further the mission of the Chamber and in accordance with approved policies and procedures
- Attention to detail – position requires accurate and consistent messaging with members and the public and accurate and organized record keeping
- Strong organizational and time management skills - ability to successfully manage several projects simultaneously and demonstrated ability to meet deadlines
- Have technical skills including Microsoft Office, Canva, CRM, etc.
- Be solution focused – ability to help others move from ’the problem’ to ‘finding a solution’
