The OperationsAdministrative Manager serves as a critical member of our support team, helping ensure the efficient operation of our administrative, logistics, fleet, HR, and office functions.
The ideal candidate is highly organized, detail-oriented, comfortable working independently, and capable of balancing multiple priorities in a fast-paced environment. This role is perfect for someone who enjoys problem-solving, improving processes, and helping an organization run smoothly.
This is an in-office position based at our Durham, NC headquarters. Remote work is not available. Candidates outside the area must be willing to relocate at their own expense.

Provide administrative support to company leadership and operational teams

Manage company correspondence, including mail, email, phone messages, and general inquiries

Maintain office, warehouse, and employee supply inventories

Organize and maintain physical and electronic records

Assist with employee onboarding and offboarding activities

Handle sensitive and confidential information with professionalism and discretion

Serve as a professional point of contact for employees, vendors, customers, and business partners

Coordinate and track vehicle maintenance schedules, fleet records, expenses, invoices, and documentation

Assist with fleet logistics, towing requests, service appointments, and operational support needs

Monitor communications related to collection sites, field operations, maintenance needs, and priority issues

Maintain accurate records within company databases, spreadsheets, and operational systems

Generate reports and assist with invoicing, data entry, and operational tracking

Support process improvements that increase efficiency and organization

Assist with employee documentation and personnel record maintenance

Support hiring, onboarding, equipment assignment, and payroll-related administrative functions

Help ensure accurate recordkeeping and compliance with company procedures

Minimum of 1 year of administrative, office, operations, logistics, or related experience

Strong proficiency in Microsoft Outlook, Word, and Excel

Outstanding organizational and time-management skills

Excellent written and verbal communication abilities

Ability to manage multiple priorities and meet deadlines with minimal supervision

High level of professionalism, confidentiality, and attention to detail

Strong problem-solving skills and a proactive approach to work

3+ years of administrative, operations, or office management experience

Bachelor's degree or equivalent combination of education and experience

Experience supporting logistics, transportation, warehouse, or fleet operations

Experience with invoicing, expense tracking, permits, lease administration, or vehicle maintenance records

Ability to learn new systems and technology quickly

Experience working in a fast-paced environment with changing priorities
