Job Overview
Rapid Security, Inc. is seeking an organized and detail-oriented Purchaser to manage the purchasing of equipment, materials, and supplies needed for our projects, service department, and day-to-day operations.
The Purchaser will work closely with Project Management, Service, Accounting, and company leadership to ensure required materials are ordered accurately, received on time, and purchased at competitive pricing. This position will serve as the primary point of contact for vendors and will be responsible for tracking orders from the initial request through delivery.
The ideal candidate is highly organized, comfortable managing multiple orders and deadlines at once, and proactive about identifying potential material or delivery issues before they impact a project or scheduled work.
Experience with purchasing in the construction, electrical, security, low-voltage, or related industry is preferred.
Responsibilities
- Purchase equipment, materials, parts, and supplies required for projects, service calls, and company operations.
- Work closely with Project Managers and the Service Department to determine material requirements and required delivery dates.
- Obtain pricing, quotes, availability, and lead times from vendors.
- Compare vendor pricing and purchasing options to help ensure materials are being purchased cost-effectively.
- Create and maintain purchase orders and ensure purchasing documentation is accurate and complete.
- Submit orders to vendors and confirm order details, pricing, quantities, and expected delivery dates.
- Track outstanding orders and proactively follow up with vendors regarding shipping status, delays, backorders, and other potential issues.
- Communicate material availability, lead times, delays, and order updates to Project Managers and other affected departments.
- Identify alternative products or vendors when materials are unavailable or lead times may impact scheduled work.
- Maintain strong working relationships with manufacturers, distributors, suppliers, and other vendors.
- Coordinate returns, exchanges, damaged shipments, incorrect materials, warranty replacements, and vendor credits as needed.
- Verify received materials against purchase orders to identify shortages, incorrect items, or discrepancies.
- Work with Accounting to resolve discrepancies between purchase orders, vendor invoices, credits, and received materials.
- Maintain organized purchasing records, vendor information, pricing, quotes, and order documentation.
- Monitor frequently purchased materials and assist with maintaining appropriate inventory levels for commonly used equipment and supplies.
- Help identify opportunities to reduce material costs and improve purchasing processes.
- Stay informed of vendor pricing changes, product availability, lead times, and supply-chain issues that could affect upcoming work.
- Assist with additional purchasing and operational responsibilities as needed.
Qualifications
- Previous purchasing, procurement, material coordination, or related experience is preferred.
- Experience in the construction, electrical, security, low-voltage, or related service industry is strongly preferred.
- Strong organizational skills and attention to detail.
- Ability to manage multiple orders, projects, priorities, and deadlines simultaneously.
- Strong verbal and written communication skills.
- Comfortable communicating and negotiating with vendors regarding pricing, availability, lead times, and order issues.
- Ability to read and understand quotes, purchase orders, invoices, and other purchasing documentation.
- Basic understanding of Accounts Payable and the relationship between purchasing, receiving, and vendor invoicing.
- Strong problem-solving skills and ability to identify solutions when materials are unavailable or delayed.
- Proficiency with computers, email, Microsoft Office, and business management software.
- Ability to work effectively with Project Management, Service, Accounting, technicians, and company leadership.
- Experience purchasing security, CCTV, access control, fire alarm, electrical, or low-voltage equipment is a plus.
What We're Looking For
We are looking for someone who will take ownership of the purchasing process rather than simply placing orders. The right person will stay on top of open orders, follow up without being asked, communicate delays before they become problems, and make sure our teams have the materials they need when they need them.
This position requires someone who is organized, proactive, detail-oriented, dependable, and comfortable communicating across multiple departments and with outside vendors. A successful Purchaser will understand that getting the right material at the right price is important, but getting it where it needs to be and when it needs to be there is equally critical.
Pay: $26.00 - $28.00 per hour
