Position Overview
The Assistant Office Manager is a full-time, on-site position that serves as an integral part of our operations team. This role is often the first point of contact for clients and visitors and plays a key role in ensuring our office runs efficiently each day.
Working closely with our leadership team and advisors, you'll help coordinate daily office operations, manage calendars and meetings, support client communications, and assist with a variety of administrative responsibilities. Success in this role comes from having a positive attitude, excellent attention to detail, strong organizational skills, and a genuine desire to help others.
What You'll Do
- Create a welcoming and professional experience for clients, guests, and business partners.
- Answer incoming phone calls, respond to emails, and direct inquiries appropriately.
- Coordinate advisor calendars, appointments, conference room scheduling, and internal meetings.
- Prepare correspondence, meeting materials, and other administrative documents.
- Maintain accurate records while handling confidential client and firm information with discretion.
- Assist leadership and team members with administrative projects and day-to-day office support.
- Monitor, order, and maintain office and kitchen supplies to ensure the office operates smoothly.
- Coordinate with vendors and service providers as needed.
- Support office organization, workflow management, and special projects.
- Work collaboratively with colleagues across the firm to help deliver an exceptional client experience.
- Continuously seek opportunities to improve processes and contribute to a positive team culture.

- Trustworthy and able to maintain strict confidentiality.
- Proficient with Microsoft Office, including Outlook, Word, and Excel.
- Comfortable learning new technology platforms and software applications.
Qualifications
- Previous experience in an administrative, office management, receptionist, executive assistant, or customer service role preferred.
- Strong organizational and multitasking skills.
- Excellent phone etiquette and interpersonal skills.
- High school diploma or equivalent required.
- Additional education or experience in business administration, finance, or office management is a plus, but not required.
