Position Overview
This position begins as a part-time Operations Coordinator while you receive comprehensive, 3-6 weeks of training in our practice systems and workflows. Upon successful completion of training, the position transitions into a full-time Operations Coordinator role with salaried pay, and opportunities for continued professional growth and advancement.
Responsibilities
Practice Operations
- Oversee day-to-day office operations
- Coordinate client scheduling and communication
- Maintain office organization and vendor relationships
- Support clinicians and ensure smooth daily workflow
- Manage clinician CAQH profiles
Human Resources
- Coordinate onboarding of new employees
- Maintain personnel documentation
- Track PTO and attendance
- Assist with implementation of office policies
Payroll
- Prepare payroll for owner review and approval
- Track compensation changes and paid time off
- Coordinate payroll processing
Insurance & Credentialing
- Monitor credentialing and recredentialing timelines
- Follow up with insurance companies
- Maintain provider records
- Assist with insurance audits and compliance
TherapyNotes Administration
- User administration
- Scheduling support
- Reporting and workflow optimization
- Client self-pay and credit card management
Financial & Administrative Support
- Coordinate bookkeeping with CPA
- Organize invoices and vendor accounts
- Monitor operational expenses
- Assist with budgeting
- Oversee recurring bill payment
Process Improvement
- Create and maintain Standard Operating Procedures (SOPs)
- Improve office workflows
- Develop organizational systems
- Support continued practice growth
- Assist with practice marketing and social media
- Participate in leadership and staff meetings
Qualifications

Experience with healthcare administration, project coordination, bookkeeping, HR, credentialing, or office management is preferred but not required. We value problem-solving ability, organization, and a willingness to learn.
