Job Summary We are seeking a highly organized and assertive Office Admin / Manager to oversee daily administrative operations and drive accountability on our sales floor. This role is vital in ensuring our sales team operates at peak efficiency by managing attendance, tracking dialing metrics, and monitoring daily performance. Responsibilities
- Sales Team Accountability: Track daily attendance, ensure sales representatives are arriving on time, and strictly monitor schedule adherence.
- Performance & Call Monitoring: Oversee daily dialing metrics and actively listen in on sales calls to ensure quality, script adherence, and productivity.
- Management Reporting: Act as the liaison between the sales floor and upper management; compile daily/weekly performance reports and immediately escalate behavioral or performance issues.
- Office Operations: Manage day-to-day office logistics, including scheduling, front desk duties, and ensuring the sales floor has the resources needed to function smoothly.
- Workflow Supervision: Supervise team members and coordinate training or coaching sessions when performance gaps are identified.
- Administrative Support: Maintain accurate records of attendance, performance metrics, and compliance documentation; assist with onboarding new sales hires.
- Communication & Etiquette: Ensure effective communication within the team, facilitating clear client interactions, proper phone etiquette, and professional correspondence.
- Vendor & Supply Management: Source office supplies, manage vendor relationships, and oversee basic facility needs to keep the office running efficiently.
Qualifications
- Experience: Proven experience in office management, administrative roles, or managing teams—specifically within a sales, call center, or high-volume outbound dialing environment.
- Leadership & Assertiveness: Demonstrated supervising experience with a strong ability to hold team members strictly accountable to KPIs and attendance policies.
- Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and extensive experience using spreadsheets for data tracking. Familiarity with CRM systems and call-monitoring software is highly preferred.
- Organizational Skills: Exceptional organizational skills with the ability to manage schedules efficiently and prioritize tasks in a fast-paced environment.
- Communication: Excellent verbal and written communication skills to deliver direct feedback, support client interactions, and collaborate with leadership.
- Discretion & Professionalism: Ability to handle confidential employee performance and disciplinary information responsibly while maintaining professionalism at all times.
- Basic Accounting/HR (Bonus): Familiarity with basic bookkeeping, payroll processing (tracking hours/commissions), and HR functions is a plus.
