Office Manager Responsibilities
Human
Resources & Payroll Administration
- Coordinate the Employee Lifecycle: Manage recruitment coordination, new hire onboarding, and employee separation processes.
- Payroll & Benefits Management: Process payroll using Paycom and maintain accurate accounting of staff Paid Time Off (PTO) accruals and usage.
- Compliance & Records: Maintain comprehensive employee files and ensure all staff certifications and required trainings are current and documented.
- Staff Scheduling: Oversee schedules and assign daily duties for Teaching Assistants (TAs).
Financial
Management & Reporting
- Account Management:
- Manage the school’s operating accounts and student-generated fund accounts using QuickBooks and Avid.
- Fee Collections: Oversee and manage fee accounts within the Infinite Campus system.
- Regulatory Reporting: Compile and submit required State Reporting to ensure school compliance.
Office
Operations & Support
- Operational Leadership: Maintain efficient school office operations and develop standard operating procedures (SOPs) for the front office.
- Administrative Support: Assist administrators and teachers with daily needs and provide backup coverage for the Receptionist as required.
- Manage front desk operations, including greeting visitors, handling multi-line phone systems, and maintaining professional phone etiquette.
- Oversee office management tasks such as filing, data entry, calendar management, and maintaining office supplies inventory.
- Utilize productivity software like Microsoft Office (Word, Excel, Outlook) and spreadsheets to prepare reports, correspondence, and presentations.
- Coordinate appointment scheduling, calendar management for staff members, and organize meetings efficiently.
- Provide excellent customer service by supporting client communication and addressing inquiries promptly via phone or email.
- Maintain accurate records through proofreading, data entry, and filing systems to ensure information is current and accessible.
Qualifications
- Proven experience in office management or administrative roles with strong clerical background.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), spreadsheets, and general computer skills.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Strong written and verbal communication skills; bilingual abilities are a plus for diverse client interactions.
- Experience with multi-line phone systems, data entry, filing systems, and calendar management is highly desirable.
- Previous customer service or front desk experience demonstrating professionalism and courtesy.
