Job Summary
The Mailing Specialist is responsible for preparing, processing, and completing mail projects accurately, efficiently, and in compliance with postal regulations. This role supports production schedules by operating mailing equipment, ensuring quality standards are met, and coordinating with internal departments to meet mail and ship deadlines.
Key Responsibilities
- Prepare, process, and complete mail jobs according to job jackets, work orders, and production schedules.
- Set up and operate mailing and production equipment, including inserters, inkjet addressing systems, tabbers, and related machinery.
- Verify that mail pieces meet USPS and other carrier regulations for addressing, barcoding, postage placement, and tabbing.
- Ensure accurate setup of inkjet databases for proper addressing and postal compliance.
- Perform quality checks throughout production, including sample runs and final inspections.
- Complete all required mailing and shipping documentation, including postage statements, manifests, and pallet paperwork.
- Box, label, and stage finished mail for shipment or delivery in designated areas.
- Maintain accurate production records, checklists, and time reports.
- Monitor materials and supplies and report shortages or issues in advance.
- Follow all safety procedures and maintain a clean, organized work area.
- Communicate job status, delays, or issues to the Mailing Lead or Production Manager.
- Assist with other production or finishing tasks as needed to support overall workflow.
Qualifications & Skills
- Experience in a printing or mailing environment preferred.
- Working knowledge of USPS mailing regulations and standards.
- Ability to operate and troubleshoot mailing and production equipment.
• Ability to process and manage mailing lists (data preparation, sorting, and basic cleanup) is a plus.
- Familiarity with mailing software or data tools is preferred.
- Strong attention to detail and quality control.
- Ability to read and follow job jackets and written instructions.
- Good organizational and time-management skills.
- Ability to work independently or as part of a team.
- Basic computer skills for data setup, reporting, and documentation.
- Ability to lift and move materials as required in a production environment.
- Physical & Work Environment Requirements
- Ability to stand for extended periods.
- Ability to lift up to 40–50 lbs as needed.
- Exposure to production machinery, noise, and ink/print materials.

Pay: $40,000.00 - $47,500.00 per year
