We are seeking a dynamic and proactive Sales & Operations Coordinator to join our growing team. This role serves as a critical link between sales, customer service, operations, and administrative functions. The ideal candidate will support business development efforts, manage customer relationships, coordinate dispatch and logistics activities, assist with project billing and invoicing, oversee vehicle rental operations, and provide general office support.

Duties & Responsibilities
Sales & Business Development
- Conduct outbound prospecting activities, including cold calling, email outreach, and follow-up communications to generate new business opportunities.
- Research prospective clients and identify decision-makers within target industries and markets.
- Schedule introductory meetings, site visits, and sales presentations for leadership and business development staff.
- Manage and maintain customer relationships through regular communication, account support, and exceptional customer service.
- Attend networking events, trade shows, chamber of commerce functions, industry meetings, and community events to promote company services and build professional relationships.
- Support new client acquisition efforts by tracking leads, maintaining prospect databases, and managing follow-up activities throughout the sales pipeline.
- Assist with the preparation of proposals, bids, presentations, capability statements, and marketing materials.
- Collaborate with leadership to identify growth opportunities, target markets, and strategic partnerships.
- Track sales metrics, lead conversion rates, and business development activities to support company growth objectives.
- Identify opportunities for upselling and cross-selling services to existing clients.
- Utilize CRM software to manage customer information, track activities, and generate reports.
Operations & Logistics
- Coordinate daily dispatching and logistics activities, including scheduling field personnel, service calls, deliveries, and project-related transportation.
- Monitor schedules and resource allocation to ensure operational efficiency across multiple projects and departments.
- Coordinate communication between customers, field staff, vendors, subcontractors, and management teams.
- Support project managers with scheduling, project tracking, document management, and administrative coordination.
- Assist with procurement activities, vendor communications, and material deliveries.
- Maintain accurate operational records, reports, and documentation.
Billing & Administrative Support
- Assist with project billing, invoicing, accounts receivable tracking, and customer payment follow-up.
- Support the preparation of estimates, proposals, contracts, and project documentation.
- Maintain organized electronic and physical filing systems.
- Manage incoming calls, emails, correspondence, and customer inquiries.
- Support general office administration and day-to-day business operations.
- Assist with data entry, reporting, and recordkeeping functions.
Vehicle Rental Coordination
- Manage company vehicle rental operations, including online listings, reservations, customer communications, scheduling, inspections, and vehicle turnover.
- Coordinate vehicle availability and maintenance scheduling to maximize utilization and customer satisfaction.
- Maintain accurate rental records, agreements, and customer documentation.
Qualifications
- High school diploma or equivalent required; Associate's or Bachelor's degree in Business, Marketing, Communications, or a related field preferred.
- Minimum of 2 years of experience in sales support, business development, customer service, operations coordination, or office administration.
- Experience with cold calling, lead generation, prospecting, and business development activities preferred.
- Strong networking and relationship-building skills with the ability to represent the company professionally at industry and community events.
- Experience with dispatching, scheduling, logistics coordination, or service operations preferred.
- Familiarity with invoicing, accounts receivable support, project billing, or bookkeeping functions.
- Proficiency with CRM software, Microsoft Office Suite, Google Workspace, QuickBooks, or similar business management systems.
- Excellent verbal and written communication skills.
- Strong organizational, time-management, and multitasking abilities.
- Demonstrated ability to work independently while collaborating effectively with multiple departments.
- Strong attention to detail and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive business information professionally.
- Valid driver's license and reliable transportation preferred.
Pay: $25.95 - $31.25 per hour
