Front Office Coordinator/Scheduler’s Job Purpose:
Do you enjoy interacting with other medical professionals and being a part of someone’s healing journey? We are seeking a highly organized and customer-oriented Front Office Coordinator/Scheduler to be an important part of our caring healthcare team.
As a Victory Clinic Front Office Coordinator/Scheduler, you will train to be an important part of our healthcare team.
The ideal candidate will be both professional and positive, and have a background in medical receptionist, front office, or other executive administrative assistant work. Experience in healthcare and customer service if a plus. Also, must be a fast learner, have excellent communication skills, and be an excellent problem solver.

Job Title: Front Office Coordinator/Scheduler
Job Classification: Hourly, Full-time (range of 32 to 40 hours a week)
Work Schedule: Monday through Friday, 8-hour daytime shifts (no weekends, no holidays)
Reporting Relationship: Nurse Manager
Location: On-Site at Victory Clinic in Lansing, KS
Primary Responsibilities:
· Help patients get the care they need and support the patient care team
· Answer phone in a friendly, professional manner
· Check in patients, collect co-pays/patient responsibility payments, and check out patients
· Schedule patients and confirm appointments
· Update patient insurance and demographics
· Check Insurance Eligibility
· Copy, scan, and electronically file documents in our Electronic Health Record
· Manage email and write replies
· Receive and send faxes (both analog and electronic)
· Format and mail letters
· Open and close clinic as scheduled
· Ensure compliance with HIPAA regulations regarding patient privacy and confidentiality
· Collaborate with team to ensure efficient workflow and patient satisfaction
· Assist with other front office and administrative assistant duties as needed
Qualifications:
· Experience as a medical receptionist, front office, or other administrative assistant work
· Experience with Electronic Health Records, such as NextGen
· Proficiency in Microsoft Office, including Word documents and Excel spreadsheets
· Experience in healthcare or mental health, customer service, hospitality, or spa industry
· Skill set: teamwork, strong communication skills, ability to multitask, organizational ability
· Values: patient-centered care, confidentiality, compassion, positive and nonjudgmental attitude, calm demeanor, work ethic, and professionalism.
· Certifications: BLS required and can be provided by Victory Clinic
· High school diploma or equivalent. Associate’s degree and/or bachelor’s degree is a plus.

IMPORTANT to note: the TMS system is a heavy magnet (similar to an MRI) and people with certain conditions (such as pacemaker or pregnancy) would not be advised to work around the system. Applicant must be able to perform essential job functions, with or without a reasonable accommodation.
